The Role:

The primary purpose of this role is to support project execution from tender to completion, ensuring all contractual, administrative, and compliance.

Contract Management & Financial Control

Contract Documentation: Assist with the analysis, preparation, and finalisation of contract documents for execution.

Tender & Procurement:

Review tender documentation and compare it against Issued for Construction (IFC) documents.

Obtain and analyse supplier quotations for project-specific equipment during tender and post-tender phases.

Variations & Claims:

Prepare variation schedules and administer all contract variations and supporting documentation.

Prepare, issue, and secure client approval for all interim and final progress claims for payment, including variations to the contract, prime cost sums, and provisional sums.

Client Communication: Confirm formal acceptance and diligently track, record, and action all client instructions and responses related to the contract.

Financial & Reporting: Provide weekly construction progress reports and the final Project Reconciliation Report. This includes assessing rolling project margins, providing reasoned forecasts for returns/risks, and reporting on the percentage of work complete.

Credit Liaison: Liaise with the Credit team as necessary to facilitate timely contract payments.

Project Coordination & Compliance

Progress Meetings: Chair construction progress meetings.

Materials Coordination: Work with purchasing teams to ensure all stock, consumables, and equipment are available for service and installation teams.

Documentation Management:

Ensure all project documentation, including operating manuals, is prepared and issued to the client and/or stakeholders upon request.

Track the issuance of relevant compliance certificates (e.g., Form 15, Form 12, Form 1) and required reporting.

Permits & Approvals:

Manage and track council applications as required, including submitting drawings to the council and various stakeholders.

Handle specialised applications for council concessions, Gold Coast Water, and connections with the QFD (Queensland Fire & Emergency Service) and NSW Fire Brigade (ASE).

Workplace Health & Safety (WHS): Ensure all WHS requirements are strictly met, including the issuing of Safe Work Method Statements (SWMS) documentation, induction appointments, and certificates.

Record Keeping: Review contract documentation, including the scope of works, and meticulously track the status of all executed contracts.

What We Offer:

Permanent Position: Once you successfully complete a 3-month qualifying period.

Full Superannuation @ minimum 12.5%
