We’re on the lookout for a switched-on, organised, and friendly Office All Rounder to support our growing construction and maintenance business based in Melbourne.

Key Responsibilities
Daily
Manage CrewTraka for payroll, including fielding calls from trades regarding hours/pay issues.
Investigate discrepancies between invoices and CrewTraka hours for payroll accuracy.
Manage and respond to admin emails.
Undertake other general administrative duties as required.
Weekly
Order office and kitchen supplies and amenities (e.g. milk, toilet paper, stationery).
Collect and manage mail (Mondays & Fridays).
Clean coffee machine and water plants (Fridays).
Approve a limited scope of invoices in Xero.
On-Demand Tasks
Prepare and manage Scope of Works and SWMS documentation for HR.
Maintain staff details, shared spreadsheets, and password records.
Assist the People & Culture Manager with administrative preparation and paperwork.
Manage fuel cards, supplier cards, and LINKT accounts.
Complete supplier credit applications.
Administer On!Track (entering new staff, projects, and assets).
Organise staff and company events.
Order staff uniforms and apparel.
Manage the fleet, including vehicle servicing, equipment maintenance, and insurance documentation.
Occasional / Monthly
Conduct monthly On!Track audits and enforce compliance.
Perform monthly fleet condition audits.
Assist the People & Culture Manager with KPI data gathering.
Order and maintain office stationery.
About You
Proven experience in an administrative (construction experience preferred but not essential).
Strong organisational and time management skills.
Confident using Xero, CrewTraka, or similar systems.
Excellent communication skills and attention to detail.
Ability to manage multiple priorities and work autonomously.
Able to work independently and take initiative
High attention to detail and a willingness to learn
