Due to increased rental volumes and a rapidly growing fleet, we are seeking someone to join the team.
About the Role
A full time, permanent position for an experienced Office Administrator in our Brisbane Depot working Monday to Friday.
Purpose of the position
A Full customer service and Administration position liaising with staff (local and H/O), suppliers and customers coordinating the control of all paperwork and data entry regarding workshop, fleet and branch requirements.
Ensure the flow of information from Branch to H/O is accurate and completed in a timely manner.
Maintain fully and accurately the records of all fleet servicing and maintenance with direction from the Workshop Manager to ensure -
· Accurate service/ maintenance data recording
· Supplier orders and Invoices are promptly processed
· Workshop Staff hours are accurate and recorded
· Customer and Supplier contact regarding service and repairs
Maintain all manual systems to ensure that accuracy is achieved and that all staff are aware of requirements to meet customer and supplier service and Rentco internal processes.
Key Responsibilities
As the Administration Officer receive incoming phone calls for the workshop and fleet enquiry to assist the caller for direction.
Attend in a professional and helpful manner client service for all suppliers and customers attending the depot.
Maintain all documents and records of servicing and maintenance of equipment in accord with Company service policies.
Filing of documents in an orderly and timely manner.
Keep all lines of communication between fleet and workshop in a professional effective manner to ensure optimum efficiencies.
Ensure systems and data entry is up to date with all recharge invoicing completed in a timely manner with direction of the Workshop Manager.
Maintain a continual flow of processing supplier invoices and purchase orders to ensure all data recorded in the system is up to date.
For equipment on long term hire arrange/make contract with the client to check on the kilometres
travelled, this ensures accurate invoicing and adherence to our servicing schedules.
Create, maintain and complete workshop jobs.
Customer and Supplier contact regarding recharge jobs.
Support the Workshop Coordinator with required tasks.
Any other reasonable task required to maintain the day-to-day running of the depot.
The successful candidate will possess the following:
A demonstrable experience in office administration, accounts and rental experience will be considered a strong advantage
Computer literate – training will be given on our internal software rental system
Strong attention to detail
Friendly, confident, and outgoing personality
Excellent organisation skills
Ability to work in a close-knit team and work unsupervised
A "Can do" attitude is essential
Ability to pass pre-employment and ongoing drug/alcohol screening
Ability to ensure that safety is always a priority
