Jackie Burke Psychology and Consulting based in the lower North Shore of Sydney provides psychological therapy, training and consulting services across Australia.
We're seeking a highly motivated and experienced Customer Experience Officer with outstanding attention to detail and an interest in psychological services to join this small, friendly, and supportive environment.
You 'll be dynamic with a positive, can-do attitude, and will be able to ensure the clinic reception functions of Jackie Burke Psychology & Consulting are inviting and efficient.
Your professional approach will ensure our clients are supported in all interactions and their private information is treated with the utmost respect and confidence. Your role supports the Director and other staff to deliver seamless and excellent services.
The Successful Applicant
There are many facets to this role and the successful applicant will need to have the ability to juggle multiple tasks, and demonstrate excellent communication, both written and verbal, at all times. The following are some key components of the role:
Welcoming clients and visitors, assisting with client enquiries in-person at our clinic in Crows Nest, online or via telephone
Administering our online client management system including setting up new clients, booking in and arranging appointment schedules,
Client diary management including cancellation and waitlist management
Basic bookkeeping including tracking expenditure, client invoicing, and receipting
Event coordination, including both online and in person meetings, and travel arrangements
Maintaining an inviting clinic environment, including ordering and maintaining clinic supplies
Drafting reports, presentations, letters, and other correspondence
General administration duties and more.
To be successful in this role, you will possess the following.
Outstanding attention to detail, efficiency, and accuracy
Ability to prioritise competing tasks and manage own workload with initiative, integrity, and diligence
Excellent presentation and a confident and reassuring manner
Ability to communicate clearly and professionally in written and verbal interactions with others
Proficient in the use of Microsoft office suite including PowerPoint
Experience with zanda software, or a demonstrated ability to learn new software programs swiftly on the job
Familiarity with the confidentiality requirements of an allied health practice
Excellent stakeholder relationship management skills
Desirable
Previous experience in a reception or front office coordination role
Experience in coordinating events and/or preparing for delivery of training programs
Experience in diary and email management
This position will initially be working 16-20 hours per week in a casual capacity. You will have availability to work in our clinic at least 2 days per week, on Monday and Thursday, with additional shifts to be determined.
