We are looking for an experienced, welcoming and motivated receptionist to join our administrative team.
This role requires an excellent level of experience in communication (within the team & with patients), leadership & marketing skills along with impeccable computer skills.
Your role is pivotal in helping our Physiotherapists provide our patients with the highest quality care.
This role will include:
Approximately 10 hours per week – Monday afternoon, Friday (until 1pm) with the potential of working another 10 hours at a different location, for the right candidate only.
This is a job shared role so the candidate also needs to be available to work other days when required, to cover for fellow receptionists on leave which may happen up to 5-6 times per year. It may be a requirement to work evenings on these occasions.
Start date: Nov 2025

You will be taught absolutely everything, from how to complete the tasks of the operation manager and marketing and advertising manager to help our admin team leader when they are on annual leave or sick.

The successful candidate
Demonstrates impeccable professional communication with face to face or phone conversations.
Can demonstrate a high level of computer literacy. We are a paperless clinic so this skill is essential and can’t be compromised.
Computer skills must be great with MS, Word, Excel, Publisher, Canva and the booking software Chirosoft. Must be able to navigate social media as marketing is part of the role.
Has the highest level of customer service & is a fast learner.
Must absolutely be available to work Mondays & Fridays. Needs to be flexible to pick up days that need to be covered when other staff members are on annual or sick leave.
Must be able to problem solve and work independently.
Prior reception experience in a healthcare setting, is preferable.
Prior experience with HICAPS is very helpful.
Job description - This role includes that of Operation & Marketing and Administration Manager.
Front Desk Duties such as answering telephone calls in a professional manner, providing each patient with a positive and welcoming experience, checking emails x3-4 times hourly.
Booking patients and rebooking support.
Taking payments and invoicing insurance companies, icare, NDIS or using PRODA.
Stock taking and ordering equipment.
Updating and maintaining the clinic’s policies and procedures.
Daily communication with all stakeholders, referrers (doctors, allied health, patients etc), team members (physiotherapists and administration staff)
Generating daily and weekly reports for banking purposes & liaising with the director daily.
Follow-up accounts receivable.
Marketing tasks including PR, web presence and social media skills.
Managing staff and their schedules.
