Financial Assistant – Specialty Coffee & Sustainable Cocoa
📍 Reservoir, VIC
🕓 Part-time | 2-3 days per week (flexible hours)
☕ Join a purpose-driven company built on ethics, flavour, and relationships
About Us
At Minas Hill Coffee, we believe coffee is more than a drink — it’s a story of people, sustainability, and connection.
For over a decade, we’ve built trusted partnerships with Brazilian farmers who share our values of traceability, quality, and respect for the environment. We import and distribute some of the finest specialty coffees in Australia, representing farms that go beyond profit — investing in education, social projects, and the preservation of Brazil’s coffee heritage.
Our sister brand, Canopy Cocoa, carries this same philosophy into chocolate. We source pure cocoa powder and drinking chocolate sweetened with organic Rapadura sugar from the Amazon, supporting rainforest conservation and indigenous communities.
Together, Minas Hill and Canopy Cocoa form a small but impactful business that connects producers and roasters through transparency and purpose. We’re proud to be part of a movement where every cup and every spoonful makes a difference.
We’re now looking for a Financial Assistant who shares our values — someone meticulous, reliable, and motivated to be part of a growing company that’s as passionate about ethics as it is about quality.
About the Role
We’re seeking a Financial Assistant to join our close-knit team at our head office in Reservoir, Victoria.
Reporting directly to the Directors, you’ll play a central role in supporting the day-to-day financial operations of both Minas Hill Coffee and Canopy Cocoa.
This is a part-time role (2-3 days per week) designed for someone who enjoys autonomy, thrives in a small-business environment, and wants to be part of something meaningful. You’ll be the financial heartbeat of our business — ensuring our books, payments, and reports flow as smoothly as our coffee.
Key Responsibilities
Manage accounts payable and receivable, ensuring all supplier and customer invoices are processed accurately and on time.
Perform bank reconciliations and monitor transactions across multiple accounts.
Assist in preparing monthly financial reports, including cash flow tracking, budget comparisons, and expense analysis.
Collaborate closely with the Directors and our external accountant to ensure compliance and accuracy.
Maintain up-to-date financial data in Xero and Cin7 Core, ensuring consistency across systems.
Support import and logistics processes by reconciling landed costs, exchange rates, and shipping payments.
Monitor outstanding accounts and help improve collection processes in collaboration with the sales team.
Provide general administrative and financial support, including document management, filing, and basic HR/payroll assistance.
Assist with financial forecasting, budgeting, and ad-hoc analysis as the business continues to grow.
About You
We’re looking for someone who is organised, dependable, and passionate about doing things the right way.
You’ll work closely with our directors and external partners, so trust, communication, and accuracy are essential.
You’ll Bring:
Experience in finance, bookkeeping, or accounting support (FMCG or import/export background a plus).
Proficiency with Xero (or similar accounting software).
Good working knowledge of Microsoft Excel — comfortable with spreadsheets, formulas, and reporting.
High attention to detail and accuracy in data entry and reconciliation.
A proactive approach to problem-solving and process improvement.
Strong communication skills and a positive, team-oriented attitude.
Interest or appreciation for sustainability, ethical trade, and specialty products.
Formal qualifications in accounting, business, or finance are an advantage but not essential — we value experience and attitude above all.
Why Join Us
This isn’t just another finance role — it’s a chance to join a business with purpose.
At Minas Hill and Canopy, you’ll work directly with passionate people who love what they do — from sourcing coffee at origin to delivering it to Australia’s most respected roasters and chocolatiers. You’ll be part of a company that celebrates transparency, sustainability, and real relationships.
What You’ll Enjoy:
Flexible work hours – choose a schedule that fits your life (school hours welcome).
Friendly, collaborative culture – work alongside people who value respect and teamwork.
Ethical and meaningful work – help build a business that gives back to farming communities.
Learning and growth – opportunities to expand your finance and operations knowledge in an international trade environment.
And of course… great coffee and cocoa every day!
Our Values
We believe in:
Transparency: Open communication with our suppliers, customers, and team.
Integrity: Doing the right thing — even when it’s not the easiest.
Sustainability: Protecting nature and supporting communities through ethical sourcing.
Relationships: Building long-term partnerships built on trust and mutual respect.
Quality: Delivering the best coffee and cocoa, every single time.
As part of Minas Hill, you’ll contribute to projects that have real-world impact — from environmental initiatives in Brazil to education programs for farming families.
What It’s Like to Work Here
We’re a small business with a big heart.
You won’t get lost in layers of bureaucracy — you’ll have a voice, make an impact, and work directly with decision-makers.
Every day is different. Some days you’ll be reconciling supplier payments or updating spreadsheets, others you’ll be helping coordinate shipments, reviewing pricing updates, or supporting our accountant with month-end reporting. You’ll quickly see how your work helps keep the company running — from farm to cup.
Our office in Reservoir has a relaxed, welcoming environment where we enjoy good conversations, good coffee, and good results.
What Success Looks Like in This Role
Accurate, up-to-date financial records and reconciliations.
Smooth coordination between finance, operations, and sales teams.
Clear, reliable financial reporting to the Directors.
Positive collaboration with suppliers, customers, and partners.
Proactive problem-solving and continuous improvement.
