The Dispatch Officer is responsible for ensuring the efficient and accurate coordination of finished goods dispatch to customers, utilizing Pronto ERP and Electronic Data Interchange (EDI) systems. This role plays a critical part in the seamless flow of goods and information within the organization, finished goods to customers & enhancing productivity and customer satisfaction.

Requirements

Minimum 1+ years experience with Pronto ERP system is required

Minimum 1+ years experience with Electronic Data Interchange (EDI) systems is required

Dispatch Coordination:

Receive customer purchase orders and process all sales orders from both Electronic Data Interchange (EDI) system & sales order PO entry into Pronto

Efficiently coordinate the dispatch of goods and services, ensuring timely delivery to customers

Utilize the Pronto system to manage and schedule dispatch activities, optimizing routes and resources

Provide direction and guidance to finished goods warehouse staff

Monitor tracking of deliveries and provide updates to customers, addressing any issues or delays promptly

Manage and control pallet hire accounts such as LOSCAM

Communication:

Maintain effective communication with customer supply chain teams & third-party logistic partners ensuring they are well-informed of their schedules and delivery instructions.

Coordinate with other internal departments such as finance, sales, customer service & warehouse team to ensure a smooth flow of information and goods.

Respond to inquiries and concerns from customers, vendors, and internal stakeholders in a professional and timely manner.

Documentation controls:

Manage the preparation and maintenance of dispatch related documentation and records, including bills of lading, shipping labels, and EDI/ PO transactions.

Use the RF gun in the management of Finished Goods as and when required.

Ensure compliance with legal and regulatory requirements for logistics & other documentation as required.

Quality Control:

Implement quality control measures to verify the accuracy of dispatch orders and EDI transactions. Be able to recognise quality controls deviations & apply the necessary corrective procedures to remedy

Conduct regular stock-taking processes of finished goods & dispatch materials throughout the dispatch function.

Proactively identify and resolve discrepancies and errors in the process.

Resource Management:

Optimize the allocation of resources, including third party logistics, finished goods factory staff & equipment to meet delivery schedules efficiently.

Track and report on resource utilization and performance.
