The Role

Northline is seeking a dedicated and detail-oriented Customer Support Officer (Warehouse Administrator) to be a vital part of our Warehouse team. If you thrive in a fast-paced environment and are passionate about delivering exceptional service, we want to hear from you!

As a Customer Support Officer, you will have an impactful role in the daily administration of our warehouse operations. The Customer Support Officer is responsible for the day to day administration function of the warehouses, ensuring reports are generated, data is entered, information is manifested and processes are followed.

Key Responsibilities

  • Efficient and accurate data entry of connotes, orders and confirmations.
  • Create purchase orders, ensuring correct allocation of information and monies.
  • Process inbound and outbound customer orders in a timely and accurate manner, ensuring charging for all orders is correct.
  • Ensure picking slips are filled out in the correct manner with all appropriate information required to process orders accurately.
  • Accurate and timely location and system management of inventory for customers as advised by the Warehouse Supervisor.
  • Proactive communication with customers on all matters including stock movements, inventory and deliveries to nurture and grow customer relationships.
  • Undertake customer service duties including attending to customer queries (phone and email) and weekly/monthly reporting as required.
  • Ensure all communication with internal and external customers is professional, effective and timely.
  • Generate reports for Warehouse Manager/Supervisor as requested e.g. Picker productivity reporting, customer analysis reporting.
  • Continuous evaluation of administration and warehouse processes with the view to efficiency improvements.
  • Ensure consignments with dangerous goods (DG)have the correct declarations filled out and have the correct accompanying DG paperwork for transit.
  • Liaise with Customer Services and Sales/Account Management to ensure clients are providing relevant and accurate information.
  • Build and maintain a good working relationship with Sales/Account Management and Operations departments, ensuring effective communication regarding accounts, rates and problems.
  • Ensure the warehouse and other areas of operation are kept organised and tidy.
  • Build and maintain professional working relationships at all levels of the organisation
  • Assist with the implementation of new accounts.
  • Assist with customer stocktakes.
  • Actively contribute to the team’s goal of being a high performing logistics operation.

Qualifications/Skills Required:

  • AQF Certificate II and one to two years of full time (or equivalent) experience; or, AQF Certificate III and one to two years of work experience (at least 20 hours per week) post qualification; or, at least one year of full-time work experience in lieu of formal qualifications
  • Qualifications in Business Administration and/or Certificate in Warehousing, Transport & Supply chain (desirable, but not essential).
  • Commitment to Health, Safety & Environment practices.
  • Integrity, trustworthiness, professionalism and a customer centric approach to problem solving.
  • Proven track record in delivering excellent customer service and resolving queries effectively.
  • Attention to detail: meticulous nature ensuring that all data entry and reporting is accurate and timely.
  • Organisational skills: managing multiple tasks while maintaining a structured and organized approach.
  • Previous experience working towards targets and deadlines.
  • Good time management skills coupled with resilience and adaptability.
  • Ability to work autonomously and unsupervised coupled with a proactive attitude.
  • Demonstrated ability to work and communicate effectively with internal and external stakeholders.
