Position Overview

The Information Management Co-ordinator is responsible for planning, implementing, and managing the organisational and health information systems, administrative processes, and data management functions for Perth Orthopaedics Pty Ltd, a specialist Orthopaedic Surgeon practice.

This role supports the surgeons and the practice by overseeing the collection, management, security, and reporting of practice information, coordinating communication between hospitals, patients, health professionals, and staff, and contributing to practice planning, compliance, and policy development. The role ensures that systems and processes operate efficiently, securely, and in line with regulatory and organisational requirements.

Key Tasks & Duties

Managing Information Services: Oversee the practice’s health and organisational information services, including patient information systems, clinical and administrative data, and practice records. Ensure systems are maintained and used efficiently to support Orthopaedic Surgeons and practice operations.

Maintaining Records Systems: Maintain computerised and manual patient record management systems, record forms, and scheduling data to ensure accurate, up-to-date, and accessible information.

Data Security & Access: Control access to confidential information and develop policies and practices for secure record handling, including patient identification, filing, retrieval, and security compliance.

Training & Compliance: Provide training, guidance, and ongoing support to clinical and administrative staff to ensure correct and consistent use of health and practice information systems. Ensure compliance with relevant legislation, confidentiality requirements, and organisational processes.

Confidentiality & Regulatory Compliance: Ensure the confidentiality and security of all patient and practice information is maintained in accordance with national regulatory frameworks and professional standards.

Information Analysis & Reporting: Analyse practice and patient data to inform operational decision-making, reporting, and practice planning. Provide management reports and summaries to support surgeons and practice leadership.

Practice Coordination: Liaise with hospitals, health professionals, patients, and external service providers to coordinate efficient practice operations and patient care.

Process Improvement: Identify opportunities to improve information management processes, systems, and workflow efficiency to support clinical and administrative staff and enhance overall practice performance.

Strategic & Operational Support: Contribute to organisational planning, policy development, and practice-level projects to support growth, compliance, and high-quality service delivery.

Skills & Experience

Tertiary qualifications in information management, business administration, organisational studies, or a related discipline.

Minimum 5 years’ experience in information and organisational management, preferably within a healthcare or specialist practice environment.

Strong understanding of administrative processes in a medical practice, including patient data, billing, and scheduling systems.

Demonstrated ability to analyse practice needs and develop systems and processes that support surgeons and practice operations.

Experience liaising with hospitals, health professionals, and external service providers.

Strong organisational, analytical, planning, and problem-solving skills.

Leadership and interpersonal skills with the ability to support and coordinate practice staff.

Current knowledge of confidentiality obligations, compliance requirements, and information governance frameworks.
