The Role
Working with a friendly and high performing events team, this role will be responsible for providing secretarial assistance to vital committees, while also delivering practical support to enable the planning, delivery and evaluation of a range of events. This role will involve varied administration, stakeholder engagement and excellent writing skills.
Main responsibilities include:
- Contribute to the design, planning, delivery, and evaluation of events
- Monitor and report on event budgets, process documents and program performance, including preparing post-event evaluations and executive-level briefs
- Provide high-level secretariat services including arranging meetings, drafting agendas and minutes and actioning follow up items
- Draft reports and briefs in consultation with key stakeholders, to facilitate integral decision-making
- Coordinate all communication channels, help to promote the event program and manage the event program inbox, to ensure timely and accurate responses to all stakeholders
- Build and maintain positive relationships with various key internal and external stakeholders
- Implement other projects as directed
Requirements
- Demonstrated experience and knowledge of governance and secretariat support to committees, ideally with a professional membership association
- Excellent communication skills both written and verbal and able to nurture strong relationships with various stakeholders including at a senior committee member level
- Exceptional writing skills with a proven track record of drafting agendas, minutes, reports and summary briefs to a high standard
- High level organisational skills, attention to detail and a positive can-do attitude to jump in and support a busy events team
- Ability to work independently and take responsibility for outcomes, while also collaborating in a professional team
- Project coordination skills
- Receptive to and willing to implement constructive feedback from committees regarding writing briefs, minutes, reports and agendas
- Strong proficiency with systems
