The Cardiac Society of Australia and New Zealand (CSANZ) is the professional body for cardiologists and those working in the area of cardiology. The Society is the chief advocacy group for health and education in cardiology and aims to facilitate training, professional development and improve medical practice to enhance the quality of care for patients with cardiovascular disease.

We are seeking an organised, proactive and professional Executive Assistant (EA) to support our Chief Executive Officer and President. About the role

This varied and dynamic role goes beyond traditional EA responsibilities. You will play a key role in governance, stakeholder engagement, and project delivery, including:

Managing the CEO’s diary, inbox, correspondence and internal/external stakeholder engagement

Supporting the CSANZ Board, including scheduling and coordinating meetings, preparing agendas, taking minutes, and tracking action items

Assisting with governance functions across CSANZ’s committees, working groups, and councils, including maintaining Terms of Reference and managing documentation

Providing secretariat support for key committees

Coordinating activities related to the Annual Scientific Meeting

Assisting in the delivery of education and training programs

Contributing to document preparation, reports, and Board proposals

Supporting office management and day-to-day operations

As EA, you will provide high-level executive support including CSANZ Board coordination, exceptional minute taking, correspondence management, committee coordination, stakeholder engagement, and preparation of reports and communications. You will also support the delivery of education programs, major events such as the Annual Scientific Meeting, and governance processes that underpin CSANZ’s work.

We are looking for someone with excellent organisational and communication skills, outstanding minute taking skills, the ability to manage competing priorities, and a high level of discretion. Experience in executive administration and governance will be highly regarded.

About you

You are an experienced, detail-oriented administrator who thrives in a fast-paced, member-focused environment. You bring a high level of discretion and sound judgement, and you’re confident interacting with stakeholders at all levels.

Key skills and experience include:

3–5+ years in a senior administrative or EA role (in the health or education sectors, desirable)

Outstanding organisational and time-management skills, with the ability to juggle competing priorities

High-level written and verbal communication skills, including exceptional minute-taking

Strong proficiency with Microsoft 365, Monday.com, BoardPro, and CRM systems (iMIS preferred)

Experience supporting governance processes, committee work, or company secretary functions is highly regarded

Proactive and solutions-focused, with a flexible and professional approach

This role is based in Sydney. Some after-hours work and travel is required to support board meetings and events.
