Key Expectations of the Role

1. Operational Leadership

Ensure the smooth, day-to-day running of the clinic—appointments, systems, rostering, and workflows

Optimise patient flow while minimising wait times and improving service efficiency

Oversee practice software, billing, Medicare compliance, and data security

2. People & Team Management

Lead and support the administration and clinical support team with confidence and clarity

Build a positive, high-performing workplace culture based on accountability and respect

Manage performance reviews, recruitment, onboarding, and conflict resolution

Champion a culture of continuous training and professional development

3. Financial Management

Oversee budgeting, billing, financial reporting, and expenditure control

Work with owners to ensure profitability and sustainability

Manage fee structures, GP contracts, KPIs, and performance metrics

4. Compliance & Risk Management

Ensure the practice meets accreditation standards and regulatory compliance

Stay across Medicare updates, privacy laws, employment legislation, and clinical governance

Maintain WHS and clinical risk registers, policies, and incident management processes

5. Communication & Stakeholder Relationships

Maintain clear and respectful communication with owners, GPs, nurses, staff, and patients

Act as the go-to problem solver for daily issues, patient concerns, and staff matters

Represent the practice professionally with suppliers, health networks, and external stakeholders

6. Strategic Alignment & Innovation

Bring the practice's mission, vision, and values to life through operational leadership

Identify opportunities for growth, innovation, and process improvements

Lead change initiatives such as digital health integrations or service expansions

7. Patient Experience & Care Culture

Champion a patient-first approach at every level of care and service

Handle patient feedback and complaints with empathy and professionalism

What You'll Bring

Proven experience as a Practice Manager in a busy medical environment

Minimum 1-2 years of Practice Manager experience in a medical setting is required

Strong leadership skills with the ability to inspire and develop a positive, high-performing culture

A sharp eye for detail and operational efficiency, ensuring compliance and seamless day-to-day running

A natural people person – able to engage doctors, staff, and patients with professionalism and empathy

Financial and business acumen, with the ability to balance clinical priorities with sustainable growth
