We’re seeking an organised, proactive RTO Administrator who will also coordinate student work placements with host employers. This is a part-time role, 3 days per week.

About the role
Provide end-to-end admin support across the student journey and take ownership of workplace coordination—sourcing hosts, onboarding employers, scheduling shifts, and ensuring compliant evidence is captured.

Key responsibilities

RTO administration

  • Process enquiries, enrolments, USIs; verify funding eligibility/concessions.
  • Maintain compliant records (AVETMISS, attendance, progress, outcomes) in the SMS.
  • Prepare and quality-check assessment evidence; support validation and audit readiness.
  • Support trainers with timetables, resources and learner communications.
  • Produce compliance/funding reports; ensure accurate, on-time data.

Work placement coordination

  • Source, onboard and maintain relationships with host employers.
  • Prepare third-party agreements, verify insurances/licences, complete site risk checks.
  • Schedule and track placements/shifts (e.g., hospitality “36-shift” models); monitor attendance/progress.
  • Induct supervisors, brief students, issue logbooks, collect third-party evidence.
  • Manage incidents, uphold WHS and child-safe practices.
  • Liaise with employment services and other stakeholders where applicable.

About you

  • Experience in RTO admin and/or coordinating work placements.
  • Working knowledge of the Standards for RTOs and state funding requirements.
  • High attention to detail; strong written/verbal communication.
  • Proficient with Microsoft 365/SharePoint and an RTO SMS/LMS.
  • Relationship-builder comfortable calling employers and matching learners.
  • (Desirable) TAE40122 or equivalent, WWCC/Blue Card, National Police Check.
