About the Role
Dr Joe Dusseldorp is a leading reconstructive surgeon based in Sydney, specialising in breast reconstruction, advanced microsurgery for nerve conditions, innovative ear surgery, and complex facial reconstruction. He also leads a biotechnology start-up developing a neuromodulation device to transform care for patients with spasticity.
We are seeking a professional and compassionate Medical Secretary to join our small, supportive team in a 12-month maternity leave cover role, with the opportunity for this to transition into an ongoing permanent position.
Based primarily at Chris O’Brien Lifehouse (Camperdown) and North Sydney, you will be the first point of contact for patients and provide essential administrative support across both the surgical practice and related business ventures. Flexible/remote work arrangements are available once established.
Key Responsibilities
Practice Administration
Welcome patients, manage appointments, and coordinate surgical bookings
Handle a high volume of patient calls and emails with professionalism and compassion
Prepare surgical quotations, billing, receipts, and daily bank reconciliations
Liaise with Medicare, health funds, and third-party providers (WorkCover, DVA, insurers)
Maintain accurate medical records in our EHR system (Gentu)
Coordinate theatre lists, liaising with hospitals, anaesthetists, and assistant surgeons
Manage practice databases, patient accounts, invoicing, and debt collection
Support smooth daily clinic operations, including IT, supplies, and facilities
Communication & Business Support
Draft and prepare materials for website, newsletters, and social media
Assist with event coordination and professional presentations
Capture and organise photography, video, and written content for communication purposes
Manage contact databases and assist with research, meetings, and project coordination
Provide broader administrative support to Dr Dusseldorp and the Practice Manager
About You
We’re looking for someone who brings:
A warm, caring manner with outstanding communication skills
Proven experience as a medical secretary, receptionist, or practice administrator (plastic/reconstructive surgery experience highly regarded)
Strong organisational skills, with attention to detail and ability to prioritise effectively
A proactive, adaptable approach – thriving under pressure while maintaining professionalism
Competence with MS Office, Outlook, Gmail, and practice software (Gentu preferred)
Understanding of medical billing and surgical administration (advantageous)
Willingness to travel across Sydney
A genuine interest in contributing to both patient care and the broader growth of an innovative medical business
