Location: Apeiron Homes – Various SDA properties (with some travel required)

Role Purpose

The Administrative Assistant plays a pivotal role in supporting the Directors and General Manager by providing executive-level administrative support while ensuring SDA compliance, reporting, and operational excellence. This role bridges governance with day-to-day operations — managing tenancy documentation, SDA agreements, compliance records, and PRODA claim submissions — while also liaising with service providers, contractors, and residents to maintain both compliance and community.

This is a hands-on role, requiring flexibility to work both in the office and across SDA properties, supporting business growth, compliance, and resident satisfaction.

Key Responsibilities

Executive & Administrative Support

Provide direct support to the Directors and General Manager across all strategic and operational activities.

Prepare, record, and distribute minutes and action registers for management and compliance meetings.

Coordinate follow-ups on meeting outcomes, ensuring accountability and timely completion of actions.

SDA Compliance & Documentation

Ensure all SDA and tenancy agreements are current, signed, and stored according to NDIS and Consumer Affairs requirements.

Manage and maintain compliance registers for SDA properties (fire safety, building compliance, maintenance logs).

Monitor and update audit-ready records in line with NDIS Practice Standards and SDA regulations.

Prepare reports and precondition compliance documents required for SDA audits and management oversight.

NDIS Claiming & PRODA

Accurately process monthly SDA claiming through PRODA and maintain clear supporting evidence.

Liaise with finance teams and Directors to reconcile claims and address discrepancies.

Stakeholder & Contractor Liaison

Act as first point of contact for maintenance contractors (electricians, plumbers, builders, cleaners) to ensure properties remain compliant and well-maintained.

Work collaboratively with SIL providers to ensure roles, responsibilities, and compliance boundaries are upheld.

Collect, document, and escalate feedback from residents, SIL providers, and support staff to management.

Business Growth & Ecosystem Development

Support the Directors and General Manager in implementing business expansion initiatives and building out new service areas within Apeiron Homes.

Assist with preparing reports, proposals, and communications relating to new projects and service development.

Contribute to resident experience by supporting initiatives such as room set-up, decoration, and property readiness.

Key Requirements

Essential:

Minimum 3 years’ experience in administrative, executive assistant, or compliance support roles.

Strong understanding of NDIS and SDA compliance frameworks, tenancy management, and consumer affairs requirements.

Experience with PRODA claim submission and NDIS payment processes.

Proven ability to manage sensitive compliance documentation with accuracy and confidentiality.

Strong organisational and multitasking skills, with attention to detail.

Excellent interpersonal and communication skills, with ability to work across directors, staff, residents, and external providers.

Flexibility to travel between SDA properties and work both on-site and in-office.

Desirable:

Previous experience in the NDIS or disability housing sector.

Knowledge of NDIS Practice Standards (SDA and SIL interface).

HR or compliance background with experience in audits.

Experience supporting senior leadership or executive-level managers.
