The Australian Health Practitioner Regulation Agency (Ahpra) works in partnership with 15 National Boards to implement the national regulatory scheme for health professionals. The purpose of health practitioner regulation is to protect the public by ensuring that only health practitioners who have the skills, qualifications and knowledge to provide safe care are registered.
This is a full time, fixed term (until 10 April 2026) based in our Melbourne office.
About the Role
The Program Accreditation team supports the Accreditation Committees to monitor approved education programs for multiple health professions in Australia. They do this by providing secretariat support, expert advice, and responding to issues in a timely and appropriate way to manage risk to public safety.
The purpose of this role is to provide a high standard of administrative support services to the Program Accreditation team. This position will coordinate activities that contribute to identifying opportunities for improvement, problem solving, and work across teams to implement initiatives and solutions.
In this role you will:
- Coordinate the preparation for meetings, both virtual and in-person, including room bookings and set up prior to meeting, catering, provision of materials or information for the meeting, attending meetings and tidying up after the event
- Prepare and process agendas and meeting papers for committee meetings and distribute electronically, in accordance with agreed service delivery standards and time frames and in the correct format
- Effectively manage all relevant committee communications to internal and external stakeholders. Consult and liaise with stakeholders, managers, and staff, as well as board and committee members, in relation to the committee's workplan
- Record and/or manage decisions, actions, or outcomes from meetings, depending upon the nature of the meeting. This may include scheduling and/or attending meetings and taking accurate minutes, distributing outcomes to relevant parties in a timely manner and in an agreed format.
- Organise travel arrangements, including bookings and preparation of detailed itineraries.
About You
We are seeking someone with strong experience in providing high level, professional, and confidential secretariat support with great interpersonal skills and a passion for making a meaningful impact, whether through improving processes, supporting stakeholders, or driving quality outcomes. You facilitate engagement and partnership with internal and external stakeholders in line with Ahpra’s National Scheme Strategy.
You have demonstrated the ability to work autonomously, exercise sound judgement, and resolve issues independently in a complex environment while effectively prioritising. You will have demonstrated the ability to work collaboratively in a fast-paced environment, a commitment to continuous learning, and show enthusiasm and drive.
As the ideal candidate, you will demonstrate the following:
- Over 3 years’ experience in Executive or Secretariat support
- Highly proficient with a range of Information Systems – Microsoft Office Suite, Adobe Pro, SharePoint /Diligent Boards, and various video/web conferencing platforms
- Outstanding coordination, organisation and communication skills – both written and verbal, with the ability to consult and liaise with various stakeholders, including program directors, managers, national staff, committees, and boards with confidence
- High attention to detail and accuracy, and
- A willingness to work in a close team that adheres to the values of Ahpra.
