ABOUT THE ROLE
Tweed Coast Support Services is seeking a dynamic and enthusiastic Scheduling & Administration Officer to join our team immediately. We’re looking for someone with a passion for managing schedules, coordinating appointments, supporting in administrative tasks and serving as the first point of contact. You’ll play a key role in ensuring seamless office operations and providing valuable assistance to our Manager and Support Staff when needed. This is a hybrid position in which you will work from home most of the time, providing flexibility around school hours and offering a balanced work-life integration. As intermittent face-to-face client contact is required, you will need to be based on the mid-south end of the Gold Coast or Northern Rivers including Tweed to Pottsville.
KEY RESPONSIBILITIES
Roster Management
Develop and maintain rosters to ensure optimal coverage and compliance with relevant regulations and guidelines.
Coordinate shift allocations, adjustments, and replacements to address staffing needs or changes.
Process and maintain accurate records of team member availability, leave requests, and timesheets in consultation with managers.
Address and resolve rostering-related issues or conflicts in a timely and professional manner.
Manage a high volume of scheduling and rostering activities.
Client Support
Schedule services in a client-centered and operationally efficient manner.
Provide day-to-day support for clients regarding changes to care services and address roster-related queries.
Liaise with internal and external service providers to manage care changes and update the database system.
Receive and respond to client requests for changes, appointments, or events, ensuring correct scheduling.
Maintain client contact primarily through phone calls and emails, with some face-to-face interactions as required.
Compliance & Collaboration
Ensure compliance with industry standards, organisational policies, and legislative requirements.
Collaborate with service delivery teams, managers, and other departments to align rosters with service requirements and individual client needs.
Actively participate in team meetings and contribute to program development initiatives.
Operational Efficiency & Resource Management
Analyse staffing hours to identify trends and anticipate recruitment needs.
Identify and maintain relationships with community programs and resources to support client needs.
Administration Support
Provide administrative support to the General Manager with a strong focus on NDIS compliance requirements including maintaining accurate participant records, updating and monitoring compliance registers, and assisting with organisational document creation.
ABOUT YOU
To be successful in this role, you will possess the following skills and qualities:
Scheduling Expertise: Prior experience in creating rosters within healthcare or a similar field is highly desirable. Familiarity with Shiftcare is a plus!
NDIS Knowledge: Demonstrated understanding of the NDIS framework, Price Guide, service bookings, and funding categories. Skilled in ensuring accurate claims, budget tracking, and compliance with NDIS reporting requirements to support effective service delivery.
Self-Sufficient & Detail-Oriented: Capable of working independently while juggling multiple tasks and maintaining a sharp eye for detail.
Innovative Problem-Solver: Takes initiative to identify challenges, resolve issues, and enhance processes effectively.
Outstanding Communication: Adept at delivering clear, professional communication and fostering strong relationships.
