Job Title: Conference & Events Supervisor

Casual HIGA Level 5.
Scope:
Provide a hands-on approach to the overall setup, execution and operations of the overall department. Accountable for controlling expenses and profitability of the department whist consistently focusing on retaining and exceeding guest’s expectations.
Improve rapport with existing clients and assist in creating new function business. Ensure excellence in all aspects of banquet service and operation in meeting with all internal and external guests needs.
Job Function:
• To ensure the smooth and efficient running of all C&E functions within the hotel.
• To be competent with hotels and outlets capacities.
• Ensure that all functions are set as stated in BEOs.
• Constantly seek new ways to improve the banquet department with empathy to a guests’ point of view at all times.
• Ensure that all food is set up so that spoilage is prevented and away from unclean areas, and cleanliness of the department is of the highest order.
• Any equipment hire is undertaken and confirmed prior to the event.
• Inventory management, stock ordering & departmental upkeep.
• Training and development for the department.
• Attend any relevant scheduled meetings as required.
• Rostering in accordance with company policies.
• Billing is done accurately as per financial policies.
• Directly coaching and training all staff with the aid of the created Banquet handbook whilst leading the team with a creative, engaging and challenging working environment.
• Establishing and enforcing SOPs and Sequence of Service for the department.
Other Responsibilities:
• To work alongside the C&E Ops Manager to manage and supervise the Meeting and Events department and the areas of the hotel in which Meetings and Events take place in such a way that company standards are achieved and maintained in respect of training and development, quality operations and service culture.
• Assist and aid roster effectivities and ensure that staff are utilised correctly. Ensure opportunities to independently set rooms in down time and quiet periods to allow the department to be ahead of schedule whenever possible limiting casual labour.
• To handle clients and prospective clients in such a way that sales and profitability are maximised.
• To ensure that staff are immaculately groomed during every shift abiding by the company policy.
• To communicate with the C&E Ops Manager the progress of all Meetings and Events staff, making and illustrating relevant points for training, retaining, coaching and noting staff who exceed expectations and staff who are falling below standards. From this recommendations of a succession plan for staff who want to progress within the company.
• To ensure that the relevant people are advised of customer complaints at all times, to deal with or ensure that complaints from customers are dealt with immediately.
• To liaise with all other personnel in the hotel to ensure that maximum use is made of all available resources.
• To ensure personal compliance with all Health and Safety, Fire and Hygiene rules and regulations and to ensure that those employees.
• To ensure that he/she carries out all reasonable duties allocated to him/her to company standards.
• Perform any other reasonable request as directed by the manager.
• Assisting with weekly stocktake management, and responsibility for managing the profitability of the beverage department through tight controls.
• To ensure that all fully trained in their duties and that the agreed Training Plan for the department is adhered to.
• To carry out any other duties outside the normal daily/weekly routine, but within the overall scope of the position.
