Port Melbourne Secondary College is an exciting new school, located in the growing Fishermans Bend Precinct in Melbourne. Role & responsibilities:
Accounts receivable
Process receipts for family contributions, events and extracurricular activities
Monitor and record incoming payments from parents, sundry debtors and external parties
Follow up on overdue event/ activity payments with timely reminders and communication
Maintain accurate student and parent account records related to payments and outstanding balances
Work in collaboration with the business manager to reconcile accounts receivables and resolve billing discrepancies
Assist families with processing payments and creating payment plans in Xuno
Support the business manager to finalise month-end and year-end financial closing activities related to receivables
Accounts payable
Process and verify invoices from supplies, contractors and service providers related to school operations
Maintain accurate records of creditor information, payments and payment terms
Prepare and schedule payments for school-related expenses ensuring timely processing
Reconcile accounts payable ledger to ensure that all payments are accounted for and properly processed
Monitor payment schedules to avoid late fees and maintain good supplier relationships
Ensure all payments comply with school policies, government regulations and funding guidelines
Maintain documentation and records for audit purposes
Support the business manager with month-end and year-end financial reporting for payables
General administration
Manage day-to-day office operations and maintain a welcoming environment for students, staff and community members
Answer direct phone calls, emails and inquiries promptly and professionally
Facilitate communication between teachers, parents, students and external stakeholders
Coordinate visitor sign-in and maintain school security protocols
Maintain and update databases and filing systems for efficient record-keeping
Provide general support to the executive team as required
Role and responsibilities included are typical of the work required but this list is not exhaustive; other duties will be at the discretion of the executive team and business manager.
Experience in school finances is desirable but is not a prerequisite. We are dedicated to offering training and support to equip candidates with the skills and knowledge to excel in this role.
