Award: Social, Community, Home Care and Disability Services Award
Classification: SCHADS Award - Level 3 - Level 4 (based on experience & skills) plus Salary packaging eligibility (up to $18,550 per year)

Position Objective
The Administration & Finance Coordinator is an integral role to the running of JCP Youth. The role undertakes a key administration function within the JCP team and provide support to the Leadership Team along with the wider team. The following duties are designed to capture the inherent requirements of this role; however, other duties can be assigned in line with your classification, operational requirements, and experience.
Major Duties
· Actively contribute to the administration of Xero & Accounting processes (including bookkeeping & payroll). Communicate effectively & efficiently with the CEO, Leadership Team & nominated accountant.
· Collaborate closely with internal stakeholders to ensure strong administrative, financial, and communication systems and processes.
· Oversee office systems (emails, shared drives, subscriptions, software licences) including basic IT troubleshooting or liaise with nominated IT provider.
· Provide general administrative support to the JCP Team, the CEO & Leadership team
· Provide support for general enquiries via phone, email & online.
· Assist with management of databases, ensuring data integrity & confidentiality.
· Maintain accurate records and files centrally; maintain registers (Vehicle, Safeguarding, WHS)
· Provide administrative support for various JCP programs and events including school
seminars & participant programs including overnight programs/camps.
· Ensure vehicles are well maintained & serviced regularly, record keeping up to date
· Support any JCP Youth fundraising initiatives or events coordinated by JCP or others
· Assist with travel & accommodation requirements
· Assist where required in grant opportunities and other fundraising avenues.
Salary Packaging is available through a provider, salary package up to $15,900 in living-expense items that attract Fringe Benefits Tax (FBT) – which could lower your taxable income and potentially increase your disposable income each year. Additionally, you are entitled to package up to $2,650 in meal entertainment expenses.
Qualifications and Skills:
A current driver’s licence
A satisfactory Working with Vulnerable Persons (WWVP) check
Core Administration Skills
Strong organisational and time management skills
High attention to detail and accuracy
Ability to manage competing priorities in a fast-paced environment
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and cloud-based systems (e.g., Teams, SharePoint)
Record management and document control
Knowledge of HR administration (onboarding, staff compliance records)
Finance Skills
Experience with financial administration (accounts payable/receivable, reconciliations, invoicing)
Knowledge of payroll processes and timesheet management (Tanda or similar rostering systems)
Budget tracking and reporting
Basic knowledge of accounting principles
Familiarity with accounting software (e.g., Xero, MYOB or similar)
Ability to prepare financial reports for management
Interpersonal & Team Skills
Ability to work independently and as part of a small, collaborative team
Strong problem-solving and initiative-taking skills
Professional and approachable manner with stakeholders, partners and young people
Flexibility and adaptability to support both admin and program needs
MUST have a current drivers licence
MUST have a valid Working with Vulnerable Persons check
Relevant qualifications in youth work or similar are NOT essential, but are favourable
