We are currently seeking an experienced Medical Secretary looking to take the next step in their career and join our team as a Medical Secretary Team Leader. As a Medical Secretary Team Leader at QCG, you will play a vital role in ensuring the smooth operation of our clinics and the satisfaction of our patients, as well as overseeing and coordinating our southside medical secretary team day to day. You will be responsible for the following tasks:

Oversee the medical secretary team to ensure that employees are delivering comprehensive administrative support to the Cardiologist consultant and team, and a caring service to patients and their families.

Provide line management to direct reports, including managing key performance indicators for the team members.

Provide training and support for new and existing team members on how to respond to patient enquires.

Oversee the attraction, engagement and retention of medical secretary team members and foster an inclusive and enthusiastic culture in the team.

Motivate and support team members to meet business targets.

Ensure induction and onboarding programs are executed to ensure team members have the capability to complete their roles.

Ensure learning and development programs are delivered to meet the ongoing needs of the business.

Manage and organise the specialist Cardiologist's diary, ensuring optimal allocation of appointments and resources.

Efficiently schedule and coordinate medical appointments, tests, and procedures with precision.

Handle incoming calls from patients, medical professionals and internal departments professionally.

Welcome and arrive patients with a warm, patient-centric approach.

Accurately process patient invoicing for medical appointments, tests, and procedures.

Maintain accurate records and data entry of confidential patient information.

Efficiently manage and access medical records while ensuring confidentiality and data security.

Facilitate effective communication between patients, cardiologists, and other medical professionals.

Key Requirements:

Minimum 5 years’ experience as a Medical Secretary, or in a similar role in a healthcare setting.

Exceptional communication, and interpersonal skills, with a strong patient focused approach.

Highly collaborative team player with a positive, can-do attitude, and a proactive approach to overcoming challenges

Excellent organisational and time management skills, with strong attention to detail and the ability to multitask effectively in a fast-paced environment.

Proficiency in medical terminology and healthcare procedures, including Medicare, and health funds.

Proficiency in standard office software, such as Microsoft Office Suite.

Ability to demonstrate leadership abilities with potential to further develop skills.

Travel between multiple clinics across Brisbane as required (training and development workshops are often held at our HQ at St Andrews in Spring Hill).

Highly Regarded:

Experience in cardiology and a hospital environment would be a significant advantage.
