We’re seeking a skilled Project Support Officer to join a high profile infrastructure project in the North Coast region. This role plays a critical part in ensuring the smooth, compliant and efficient delivery of project outcomes through meticulous document control, stakeholder coordination and administrative excellence.
Working closely with the Project Manager and broader project team, you’ll utilise a range of software, information management systems and structured processes to support a multi year program of work.
Key Responsibilities
- Manage document control systems, ensuring accurate filing, version control and retrieval of project and corporate records.
- Control access and distribution of sensitive documentation, safeguarding confidentiality.
- Track submissions, approvals and revisions to keep projects on schedule.
- Administer and support Electronic Document Management Systems (EDMS) such as SharePoint, DMS, InEight or similar.
- Archive and maintain records in line with retention policies and legislative requirements.
- Coordinate project meetings, from agenda preparation to minute taking and distribution.
- Maintain stakeholder registers, correspondence logs, spreadsheets, and reporting tools.
- Prepare project correspondence and presentations using the full Microsoft Office suite.
- Liaise with internal stakeholders to gather and clarify project information.
- Ensure compliance with organisational quality and storage guidelines.
What You’ll Bring (Non Negotiables)
- Proven document control and records management experience.
- Proficiency in EDMS platforms (e.g., SharePoint, DMS, InEight).
- Strong Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
- Experience coordinating meetings, preparing agendas and taking minutes.
- High attention to detail and accuracy in documentation and data entry.
- Ability to maintain confidentiality and handle sensitive information.
- Experience working in structured, compliance-driven project environments.
Ideal Backgrounds Candidates with experience in:
- Government or public sector project teams.
- Large scale engineering, construction or infrastructure projects.
- Project Management Offices (PMOs).
- Utilities or Transport
Role Detail
Hours: Up to 38 hours per week, Monday–Friday based in Buderim
Pay rate (hourly): $49.40 - $54.62 (Rate will depend on experience and suitability.)
