$36.57 to $39.73 per hour + salary packaging | Administrative Services Officer (ASO) - Mental Health Services
Multiple opportunities available | Permanent and Fixed term roles
- Permanent Part Time 0.8 EFT (64 hours per fortnight) immediate start available (Saturday - Tuesday: 8:30am - 5.00pm)
- Fixed Term Full Time (80 hours per fortnight) including a monthly ADO, Parental Leave cover until Sept 2026
About the position
Grampians Health is seeking a highly motivated and experienced Administrative Services Officer (ASO) to join our Mental Health & Wellbeing Service. As a leading healthcare provider in the region, Grampians Health is committed to delivering high quality care and service to our patients and the broader community. Grampians Mental Health & Wellbeing Service provides a comprehensive range of mental health services to peoplewho residethroughout Ballarat andthe Grampians region. This position supports the operation of the service, being responsible for various administrative and reception functions as required throughout the Active and Intensive mental health streams. This position supports both the full spectrum of mental health Community teams and Inpatient units.
- Saturday-Sunday: Administration duties within an inpatient mental health unit.
- Monday-Friday: Office based reception and general administrative support (8:30am-5:00pm).
About You:
We are looking for a candidate who is:
- Customer focused with strong communication and interpersonal skills
- Experienced in working within a mental health or medical setting (highly desirable)
- Familiar with medical software and electronic medical records systems (highly desirable)
- Able to manage competing priorities in a fast-paced healthcare environment
Key Responsibilities
- Manage reception, phone, and front line enquiries with professionalism
- Maintain patient information using CMI, WebPAS, BossNet (OPAL), and more
- Compile correspondence, type medical reports, and support data reporting
- Support calendar management, meeting agendas, and room bookings
- Audit and update data to ensure patient record accuracy
- Contribute to service improvement and admin system efficiency
Skills & Experience
- Minimum of three years' experience in a similar role is preferable and/or completion of Certificate Ill or IV of Business Administration.
- Proven admin experience in a health, mental health, or medical setting
- Proficient in Microsoft Word, Excel, Outlook, and health information systems
- Confident communicator with strong customer service skills
- Ability to prioritise under pressure and adapt to changing needs
- Understanding of medical terminology and confidentiality principles
