About the Company:
This leading privately owned civil contractor is well known in the industry for specialising in Bulk Excavation, Shoring, Detailed Excavation, Remediation, Demolition, Stormwater Drainage, Roads & Carparks. They provide their clients with Civil, Industrial & Building, and Construction services and cater to clients throughout SE Queensland. The Company is currently seeking an experienced Reception and Administration Assistant within the construction industry.
This position is a permanent full-time position with a 6-month provisional period and will convert to a permanent position after 6 months.
The successful applicant will be responsible for:
Front desk duties and answering incoming calls:
Reception duties include answering phones, redirecting calls, taking messages, managing the visitor register, and managing incoming and outgoing mail.
Excellent communication abilities and strong organizational skills.
Responsibilities typically involve records management, financial data entry, invoice processing, and assisting with time sheets.
Accurately match all relevant paperwork, purchase orders to dockets, and invoices, identifying and following up on discrepancies.
Accounts Payable Data Entry and accurate reconciliation of Creditors' Trial Balance
Spreadsheet summary for Fuel Litres, Trucks invoices, and personnel timesheets per job using Excel.
Performing administrative duties such as filing, typing, copying, binding, and scanning.
Monitoring stationary levels and ordering office supplies.
Document management, including the creation of customer files.
Maintaining computer and manual filing systems.
Other ad hoc administration tasks as required.
Skills & Experience:
Proficiency in Microsoft Office software (advanced Excel, Word, and Access)
Work well within a team.
Acceptable will be trained and will be given guidance.
Strong written and verbal communication skills and people skills
Organised with high attention to detail.
Experience:
Minimum 2 years proven experience in accounts payable and reception duties within the construction industry
Accounts Payable Experience
Advanced Excel skills required (pivot tables, VLOOKUP, macros), MS Access, and MS Outlook.
Experience with accounting software, ie Arrow Computer Software
Having the ability to manage, schedule, and prioritise multiple tasks with excellent time management skills is essential.
Additional Educational Requirements:
Certificate III in Business Administration or equivalent qualification required
