What's the role?

The Assistant Accountant contributes the financial sustainability of Scouts WA by ensuring the delivery of reliable financial processing, reconciliations, and administration. Working under general direction, this position supports timely and accurate maintenance of financial and business activities and contributes to the effective functioning of the finance team. This includes providing practical assistance across accounting, reporting, and auditing activities to ensure the organisation meets its financial outcomes.

What is the scope of responsibilities?
Financial Operations

Maintain financial and business activities that ensure the integrity of Scouts WA’s cash flow, processing, and reconciliations. This including but not limited to:

· Processing accounts payable and receivable transactions, including invoice coding, verification, and matching to purchase requests or orders.

· Monitoring and actioning approved payments and receipts, such as weekly payables and banking tasks.

· Assisting with reconciliations across bank accounts, debtor balances, and other ledger items.

· Supporting credit card and reimbursement processes as required.

· Reviewing and maintaining accurate ledgers and cost centre allocations (i.e. job codes).

· Supporting accruals and adjustments for month-end cut-off.

Reporting and Compliance Support

Assist with delivering reliable reporting, audit preparation and financial governance across the organisation. This includes but is not limited to:

· Supporting month-end, quarter-end and year-end closings.

· Analysing and resolving financial issues arising in the lead up to reporting deadlines.

· Helping prepare ATO lodgements such as BAS, IAS, and FBT.

· Ensuring correct GST treatment across transactions and identifying any errors or compliance risks.

· Assisting with the preparation of audit schedules, reports, and supporting documentation as directed.

· Helping maintain internal financial controls and contributing to process improvements

General Administrative Support

Provide reliable administrative and stakeholder support to ensure smooth day-to-day financial functioning. This includes but is not limited to:

· Handling finance queries via email and phone by responding directly or escalating appropriately.

· Assisting with fixed asset audits and maintaining up-to-date asset registers and related records.

· Supporting record-keeping for leases, utilities, rates, and supplier agreements, such as checking for charity discounts or preferred pricing.

· Maintaining structured documentation across finance systems and storage platforms (e.g. SharePoint) to support audit and operational needs.

· Providing support to payroll processes and functions as needed.

· Supporting finance-related project activities, data reviews, or audit file preparations as required.

· Performing other general administrative and clerical tasks as required.

What skills and knowledge do you need?

Competence in oral and written communication.

Thorough knowledge in financial administration and accounting activities relevant to a NFP or community services sector.

o Experience with assisting accountants or a similar role.

o Understanding of annual audits and annual financial statements and schedules preferred.

o Proficiency in accounts payable and/or receivable is highly regarded.

o Qualifications and/or experience in business, administration, or similar are beneficial.

Ability to apply computing concepts relevant to finance and accounting systems and software.

o Experience with Xero preferred.

o Good understanding of Windows 10/11 and Microsoft 365.

o Knowledge of CRM systems (e.g. Salesforce) is beneficial.

Working knowledge of legal, regulatory, and compliance requirements relevant to accounting and taxation, preferably in the NFP or community services sector.

Ability to interpret and apply of organisational policies, procedures, and standards.

Familiarity or knowledge of the Scouting movement is advantageous.

What expertise is necessary?

a) Associate diploma in accounting or similar and relevant experience; or

b) Relevant certificates with significant experience; or

c) Demonstrated experience and knowledge attained through previous appointments, service and/or study an equivalent level of experience and expertise to undertake the scope of responsibilities.

Satisfy an employment medical evaluation upon hiring, or as requested by management.

Work a flexible roster, including occasional early mornings, evenings, and weekends as reasonable and required.
