About the role

We are seeking a highly organised and skilled Senior Administrator to join our team at Granger Mechanical Repairs Pty Ltd in Gracemere, Queensland. This is a full-time position that will play a crucial role in supporting our operations and ensuring the smooth running of our office and administration functions, and supporting and guiding our administration staff, and assisting in growing our business.

What you'll be doing

Providing comprehensive administrative support to the management team and departments across the organisation

Overseeing the day-to-day administrative functions, including document management, filing, and correspondence as well as hands on duties

Coordinating schedules, arranging meetings, and managing travel arrangements for the leadership team

Assisting with financial tasks such as invoice processing, parts ordering, expense management, and reporting

Liaising with clients to manage administrative requirements

Maintaining and updating various records, databases, and office systems

Acting as the first point of contact for internal and external stakeholders, providing excellent customer service

Supporting HR-related activities, such as onboarding new employees and managing employee files

Identifying areas for process improvement and implementing efficient administrative procedures

What we're looking for

Minimum 5 years of experience in a senior administrative or office management role, preferably within a similar industry

Strong organisational and time management skills with the ability to prioritise tasks, meet deadlines, and work under pressure, including EOM invoicing

Excellent communication and interpersonal skills, with the ability to interact professionally with all levels of the organisation

Proficient in using Microsoft Office suite, including advanced Excel skills

Experience in coordinating scheduling, travel arrangements, and supporting executive-level staff

Demonstrated problem-solving skills and a proactive, solutions-oriented approach

Keen attention to detail and a commitment to maintaining accurate records and data

Flexible and adaptable, with the ability to work independently and as part of a team
