Role Purpose
This role is to support the day-to-day operation of our office and customer-facing workflows. You will be the first line of communication for our clients and support team. To support the sales and technical teams to keep our scheduling, procurement, and invoicing functions running efficiently.
Key Responsibilities
First-Line Communication: Handle inbound enquiries (phone, email, webchat, socials, etc) with professionalism, helpfulness, and accuracy.
Scheduling Coordination: Book and manage jobs, leads, and meetings, ensuring timelines are clear for clients and team members.
Workflow Management: Track and follow up on work orders, purchase orders, quotes, job updates, and invoices to support timely progression.
Client Records Maintenance: Ensure client data is accurate and up to date in our systems.
Procurement Support: Support the operations team by Liaising with suppliers for part sourcing, delivery timelines, and stock tracking.
Job Processing & Invoicing: Support the operations team Finalising job edits, preparing client invoices.
Outbound Client Care: Proactively contact existing clients for maintenance scheduling and follow-up tasks.
Sales & Technical Support: Assist with quoting, proposal formatting, and administrative documentation.
Team Coordination: Support project delivery by maintaining clear communication with internal staff and contractors.
Team Player Mindset: Be hands-on, reliable, and willing to assist wherever needed to keep things running smoothly.
What We’re Looking For
Strong communication skills — written, verbal, and interpersonal
Highly organised, detail-focused, and comfortable managing multiple tasks
Confident and interested in using or working with tech systems (CRM, Microsoft Office, Xero, etc.)
A can-do attitude, with a genuine willingness to help others and take initiative
An interest in growing into a Customer Accounts Manager role — you want a long-term path and aren’t afraid to step up when the opportunity arises
