The Team

The Branch Project Officer/Executive Assistant (BPO/EA) is responsible for providing executive and administrative support to both the Assistant Commissioner and the wider branch in a professional, accurate and timely manner. This role will undertake work, under general direction, that is moderately complex, requiring administration expertise to support several areas including governance, resource management, recruitment and induction.

The Opportunity

General

Provide high-level coordination and administrative support to the Assistant Commissioner, Chief Technology Officer Branch, across a range of key activities. This includes acting as the first point of contact for stakeholders, ensuring clear, timely, and effective communication; managing the Assistant Commissioner’s diary and scheduling meetings; coordinating governance and administrative tasks in collaboration with other Branch Project Officers and Executive Assistants; arranging and managing national and international travel; supporting staff with record-keeping activities as needed. You may also be required to perform other reasonable duties, aligned with your classification, as directed by management.

Governance

Assist in supporting the governance arrangements for the Branch, including project-related activities, by providing secretariat support such as minute taking and scribing, and by coordinating the completion of actions that arise from governance meetings. The role also involves compiling and coordinating reports to meet a variety of corporate and governance requirements, and for contributing to election preparation and delivery activities in line with the election readiness framework.

Resource management

Assist with resource management, including maintaining an accurate establishment in the relevant electronic system; developing, monitoring and reporting on budgets and expenditure; managing invoices and accounts, including monthly accruals and ensuring credit card usage/expenditure is processed; and undertaking low value/risk procurement and contract management activities and record keeping.

Recruitment and induction

Support recruitment activities, including arranging for vacancies to be advertised and scheduling interviews and arrange workstation for new starters, including stationery and telephony/computer system access is set up prior to their commencement date.

To excel you’ll have:

  • Demonstrated experience providing highly organised coordination, governance and/or administrative support, including the ability to prioritise work under pressure while maintaining sound attention to detail;
  • Strong liaison and interpersonal skills, with demonstrated skill in communicating effectively through both verbal and written communication;
  • Proven the ability to achieve results, to organise priorities and meet deadlines;
  • The ability to analyse information, with an excellent attention to detail, in order to provide up to date data for the use in reports and other documentation;
  • Strong computer literacy skills, including demonstrates experience with the Microsoft office suite; and email management and utilising digital work prioritisation techniques
  • A strong client focus and commitment to providing effective services and professional advice to clients.

Desirable

  • Prior experience using online travel booking tool and credit card solutions.
