1. Role Overview

As the Client Success & Administration team member at Capital Prints, you are a key contact for our clients and a central figure in managing the smooth flow of information, orders, and communication across the business. Your role is to deliver a seamless and supportive client experience while also owning the administrative and coordination processes relating to order setup and pre-production.

This is a hands-on, client-facing role with strong organisational and communication responsibilities. You’ll manage order processing from enquiry to completion, maintain accurate records, and ensure clients and internal teams stay aligned through efficient coordination and responsive service.

2. Key Responsibilities

Client Engagement & Account Management

Build and maintain strong relationships with clients, acting as their consistent point of contact.

Manage all order processing, including quoting, basic mockups, and approval management.

Manage purchase ordering for all client orders, ensuring stock is ordered regularly and accurately, and that any stock-related issues are handled directly with the supplier.

Provide timely, professional customer service across all channels—responding to emails, phone calls, online enquiries, and social media messages.

Ensure all client interactions are handled efficiently, with a friendly and solution-focused approach that reflects Capital Prints’ service standards.

System & Workflow Management

Maintain and update client and order records in the CRM and other internal systems.

Track job statuses, follow up on outstanding tasks, and ensure clients receive their orders on time.

Keep internal teams informed and aligned through timely updates and documentation.

General Administration

Support general business operations by managing office supplies and assisting with internal organisation tasks.

Help maintain structured digital filing and order-related documentation to ensure accessibility and accountability.

Marketing Content Capture

Capture raw photos or short video clips of products or projects as directed.

Upload content into relevant shared folders, ensuring it’s clearly labelled and accessible to the marketing team.

Represent Capital Prints with professionalism when gathering client-related content.

Team Collaboration & Communication

Work collaboratively with internal departments to ensure seamless coordination of client orders and service delivery.

Share feedback, improvements, or ideas that contribute to a smoother client journey or internal process.

Required Skills & Experience

To be successful in this role, you will have:

Minimum 2 years’ experience in customer service, client relationship management, or a similar client-facing administrative role.

Experience with CRM systems and a strong ability to maintain accurate digital records.

Excellent written and verbal communication skills, with a confident and professional phone manner.

Strong administrative and data entry skills, with keen attention to detail and task follow-through.

A proactive, solutions-focused approach with the ability to manage multiple priorities effectively.

Ability to work both independently and collaboratively as part of a supportive team.

A valid driver’s license.

Permanent work rights in Australia (citizenship or permanent residency required).
