About the role
Reporting to the Executive Officer, the Executive Team Assistant provides high-level confidential administrative support to the Executive team members to ensure Carpentaria’s strategic priorities are met and smooth and efficient operations.
Responsibilities include:
- Organising and maintaining executive calendars, scheduling appointments and the coordination and facilitation of executive meetings (internal and external) by preparing agendas, taking confidential minutes, and tracking follow-up actions.
- Manage travel logistics and activities including accommodation and transportation
- Handling of phone calls, emails and other correspondence acting as a point of contact for internal and external stakeholders
- Preparing and editing reports, presentations and other documents ensuring accuracy and professionalism
- Providing support for special projects and ad-hoc tasks as required
- Maintaining strict confidentiality with all sensitive information
- Maintain secure, organised, and accessible systems for reports, records, and documentation.
- Act as the point of contact for Executive team members, prioritising and managing access effectively.
About you
We are looking for an experienced administrative who can demonstrate the ability to handle highly confidential and sensitive matters with discretion and professionalism, excellent written and verbal communication skills, with high level organisational skills including flexibility, problem-solving skills and the ability to prioritise competing tasks and meet deadlines. As well as, strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
You will also need to hold (or have the ability to obtain) a current Ochre Card, Criminal History Check, NDIS Worker Screening Clearance, and an NT Drivers Licence.
