Purpose of the Position
The Youth Hub Program Support Officer plays a key operational and coordination role, supporting day-to-day program delivery. They are responsible for ensuring logistics, scheduling, resources and client needs are met to support smooth and culturally safe program operation. The role includes administrative support, liaison with young people and families, transport coordination, and assisting in group sessions where required.
This role is ideal for a person with strong organisational skills, cultural awareness, and a passion for working with community.
Responsibilities and Duties
Program Administration
- Provide day-to-day administrative support to the program team, including scheduling meetings, taking minutes, and preparing documents.
- Maintain filing systems, records, and registers in line with privacy and confidentiality requirements.
- Manage incoming and outgoing correspondence, including emails, phone calls, and referrals.
Client and Program Support
- Assist with data entry and maintenance of client management systems (e.g. case notes, consent forms, referral tracking).
- Support program staff with logistics for group activities, community events, and client appointments.
- Help prepare and distribute information packs, resources, and promotional materials.
Reporting and Compliance
- Support the collection and collation of program data for internal reporting and external funding requirements.
- Assist with the preparation of reports, grant acquittals, and outcome summaries under the guidance of the Program Manager.
Stakeholder and Team Coordination
- Maintain contact lists and communications with internal staff, community partners, and external stakeholders.
- Help coordinate bookings, transport, catering, and venue hire for workshops, events, and meetings.
- Contribute to a positive, culturally safe, and team-oriented work environment.
Governance, Compliance & Reporting
- Ensure program compliance with funding agreements, organisational policies, and relevant legislation.
- Support Monitoring & Evaluation activities, including data collection, storytelling, and reporting on key outcomes.
- Contribute to funding proposals, program reviews, and strategic planning processes.
Risk & Quality Management
- Ensure robust risk management frameworks are in place for working with young people with complex needs and offending behaviours.
- Monitor service quality and lead continuous improvement processes.
- Respond to incidents, complaints, and case escalations in accordance with departmental procedures.
- Participate and contribute to the organisation’s compliance obligations under the ISO 9001:2015 Quality Management System and Human Services Quality Standards (HSQS).
- At all times work within CQID’s Workplace Health & Safety Policies and Procedures.
- Other responsibilities as directed by the Manager and Team leader to meet program expectations.
Key Selection Criteria
Essential
- Strong organisational and coordination skills, with attention to detail.
- Ability to build rapport with Aboriginal and Torres Strait Islander young people and families.
- Demonstrated understanding of cultural safety and trauma-informed practice.
- Confident in using digital tools (e.g. Excel, Word, client databases, email).
- Capacity to manage multiple tasks while managing competing priorities.
- Clear and respectful communication style.
- Team player, adaptable and solutions focused.
- Strong respect for confidentiality, safety and professional boundaries.
Desirable
- Experience in a similar support role (e.g., community programs, education, youth services).
- Knowledge of local community networks, services, and cultural groups.
- Experience working alongside Aboriginal Community Controlled Organisations (ACCOs).
Qualification and Compliance Requirements
Mandatory:
- Working With Children Check (Blue Card - QLD)
- Current First Aid and CPR Certificate (or willingness to obtain)
- Current Driver's Licence (or willingness to obtain)
- Police Check (National Police Certificate)
Desirable:
- Cert III or IV in Community Services, Youth Work or Administration
- Mental Health First Aid/Youth MHFA
