Melbourne Teaching Health Clinics (MTHC) is a wholly owned subsidiary of the University of Melbourne and provides world class clinical training opportunities for the Faculty of Medicine, Dentistry and Health Sciences students. It also provides patient access to high quality health care for members of the Victorian community, within a private practice setting. There are six clinical areas that are central to this service, and they include general medical practice, dentistry, optometry, audiology, speech pathology and psychology.

About the University of Melbourne Psychology Clinic

The University of Melbourne Psychology Clinic (UMPC) provides affordable, high quality psychology services to the community across a range of specialisations. Working closely with the University of Melbourne, the postgraduate students (provisional psychologists) see patients under the supervision of senior clinicians and registered psychologists.

Our psychological services include the following:

Psychological assessment and counselling for adults, children and families

Specialised group programs

Neuropsychological assessment and counselling

Educational and developmental psychology

Maths learning difficulties and dyscalculia services

About Melbourne Dental Clinic

Melbourne Dental Clinic (MDC) is an affiliate of the University of Melbourne. The graduate and postgraduate students from the Melbourne Dental School carry out our student dental services under the supervision of leading dental practitioners in Melbourne. We also have a private dental practice with fully qualified dental practitioners. The fees associated with these two levels of service are adjusted according to whether or not they are set in the teaching and learning environment.

What makes our service unique is the availability of a wide range of dental specialties in the one location, including endodontics, orthodontics, periodontics, prosthodontics and paediatric dentistry, as well as general dentistry.

About the Role

Join our dynamic and patient-focused team at Melbourne Teaching Health Clinics as part of the University of Melbourne Psychology Clinic and the Melbourne Dental Clinic as a Practice Administrative Coordinator. This role is available for full time 1.0 FTE (38 hours per week).

Reporting to the Clinic Director and Interim Clinic Operations Manager, you will be the initial point of contact and provide exceptional customer support for all patients, students, and practitioners visiting the Clinic.

Your responsibilities will include general day to day reception and administration of the Clinic in addition to high level administration coordination. Oversight of clinic operations from an administration perspective and strong communication and liaison with Clinic Directors.

The position is expected to deliver high-quality customer service to patients, students, practitioners and supervisors by creating a welcoming environment, ensuring patients are greeted upon arrival, email and phone enquiries are effectively managed and appointments are created and communicated in a timely manner.

About you

Essential Selection Criteria

Relevant qualification and/or work experience in a front desk customer service environment with experience undertaking administrative duties relating to management of a clinical setting.

Experience in using a database client management system.

Experience in clinic administration oversight and coordination.

Excellent verbal and interpersonal communication skills with the capacity and confidence to deal with a diverse range of people.

The ability to work in a highly productive and dynamic environment, whilst managing multiple priorities to best meet the needs of patients, key stakeholders and the business.

Demonstrated organisational and time management skills, including the ability to manage competing priorities.

Demonstrated track record of internal and external customer service provision.

The ability to use initiative to support improvements to customer service.

The capacity to work autonomously but also work collaboratively and effectively within a team environment.

Strong computer skills and ability to use software such as the MS Office Suite, internet and email.

Desirable

Knowledge of OH&S guidelines common to a clinical setting

Ability to operate EFTPOS machines and a capacity to deal with banks

Experience with patient management systems, Medicare billing, NDIS billing and Private Insurance Claims

Experience using practice management software such as Titanium or similar.

Experience working within a mental health service, psychology practice, dental clinic, or general health service.

Special Requirements

The incumbent may be required to complete Mental Health First Aid training to support clients who are experiencing psychological distress

Whilst Melbourne Teaching Health Clinics is a subsidiary of the University of Melbourne, it is a separately registered not-for-profit company in its own right. MTHC operates a number of teaching health clinics in Melbourne and country Victoria. The role may be required to provide additional on-site support to these clinics.
