We’re looking for a motivated and organised Personal Assistant / Sales Support to join the team at PRD Real Estate Oatley, a long-standing agency with a proud reputation for excellence, trust, and results in the St George region. This full-time, Monday to Friday position is perfect for someone who loves real estate and thrives in a fast-paced environment but is looking to enjoy their weekends off. You’ll play a key role in supporting our sales team with day-to-day administrative tasks, client care, marketing coordination, and property campaign support, to keep everything running smoothly behind the scenes.
Position Overview
This role is responsible for providing executive administrative support to two lead sales agents and coordinating all related marketing tasks for their property campaigns. The position involves managing listing logistics, liaising with vendors, preparing marketing materials, and overseeing the delivery of compliant, on-brand campaigns across multiple platforms.
Key Responsibilities
Administrative Support
• Coordinate property marketing logistics including photography, auctioneer bookings, and repairs.
• Prepare and manage compliance forms, listing authorities, and internal documentation.
• Maintain campaign timelines and ensure all deadlines are met for each listing.
• Liaise with vendors to obtain approvals for marketing materials, signage, and brochures.
• Attend properties to write advertising copy
• Running errands and assisting with ad hoc tasks
• Preparing tailored selling recommendations for clients
• Scheduling open homes and issuing notices of entry
• Handling “Just Listed,” “Just Sold,” and “Unconditional” tasks
• Organising all aspects of Settlement Day to ensure smooth transactions
Marketing Coordination
• Organise and load weekly social media content (e.g. Just Listed, Just Sold, Auction alerts, office updates).
• Select and order property photos for brochures and signboards.
• Work with reception on the creation and proofreading of brochures and signboards.
• Ensure all marketing materials are accurate, error-free, and delivered on schedule.
• Use cloud based platforms to create buyer alerts, listing announcements, and pre-listing proposals.
Internal & External Communication
• Communicate with photographers, auctioneers, vendors, and third-party marketing providers.
• Work closely with reception and office administration to coordinate production and distribution of printed and digital materials.
Required Skills and Experience
• Strong written communication skills, including copywriting for property ads.
• Excellent attention to detail and proofreading ability.
• High-level organisation and time management skills.
• Ability to work to strict deadlines across multiple active campaigns.
• Familiarity with real estate platforms or ability to learn quickly.
• Experience with social media scheduling and content uploading is preferred.
• Previous real estate experience is desirable but not essential
• Certificate of Registration with a desire to obtain Class 2 Real Estate Licence
