About the Role
As an Ordering Administrator, you will play a vital role in the procurement and stock management function at Routleys. Your primary responsibility will be managing stock orders, maintaining supplier communication, and supporting efficient inventory control across our business. You'll also be trained in other areas, including processing incoming and outgoing stock, providing a well-rounded understanding of our back-of-house operations.
Tasks & Responsibilities:
Process and manage purchase orders across multiple categories.
Liaise with suppliers to confirm order details, delivery schedules, and resolve discrepancies.
Monitor inventory levels and initiate stock orders to ensure optimal availability.
Maintain accurate and up-to-date records of orders, invoices, and delivery confirmations.
Collaborate with internal teams including warehouse, sales, and finance to support seamless operations.
Track order status and assist in supplier performance reviews.
Support logistics and stock movement between locations.
Assist with preparation and distribution of account statements using Lightspeed and QuoteMachine.
Compose and send customer communications regarding order updates or payment follow-ups.
Skills and Experience
Proven experience in administration, procurement, or logistics coordination.
Strong attention to detail and excellent organisational skills.
Confident communicator with strong interpersonal abilities.
Experience using order or inventory systems (Lightspeed preferred).
Proficient in Microsoft Office (especially Excel).
Comfortable working both independently and collaboratively.
Able to manage multiple tasks in a fast-paced retail environment.
Skills Preferred (Not Essential)
Experience in the retail, fashion, or manufacturing sectors.
Familiarity with QuoteMachine software or similar platforms.
Understanding of logistics coordination or dispatch procedures.
