Your Opportunity
The Team Leader, Educational Delivery Support (EDS) is responsible for:
- leading and supporting the team in providing administrative support across a broad range of delivery administration activities and tasks;
- providing support and guidance to internal and external clients regarding operational matters relating to delivery management (timetabling) and result conversions; and
- contributing to the positioning of TAFE Queensland SkillsTech as the lead provider of trade and technical training through the effective promotion of Region products and services.
This position reports to the Operational Supervisor, Educational Delivery Support (EDS) and works collaboratively with both a multi-disciplinary EDS business unit and the relevant educational delivery teams.
The position will be based at Acacia Ridge however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
- effective and efficient employee rostering;
- providing clear direction on the allocation of resources, prioritisation of tasks and compliance with approved processes in order to ensure that key performance indicators (KPIs) are achieved by the team;
- building team capability through support and mentoring, training and upskilling, and participation in performance development and review activities;
- assisting with the development of work instructions for operational tasks;
- ensuring services are aligned to EDS team business objectives; and
- contributing to continuous improvement through active participation in the development and review of business processes, documentation and practices as they relate to training and management.
- TAFE Queensland programs and services; and
- a working knowledge of all applicable legislation, regulations, policies and guidelines to ensure the Region’s pre-qualified supplier (PQS), AVETMISS and Australian Skills Quality Authority (ASQA) compliance.
- Contribute to the success of cultural change within the organisation through promoting and modelling TAFE Queensland SkillsTech’s core values and Agreed Behaviours and the established TAFE Queensland values of Working Together, Focussing on our Customer, Taking Responsibility, Showing Initiative, and Safety First.
- Monitor and supervise the day to day operational activities of the team and assist the Operational Supervisor, EDS to foster a high performing EDS team, including:
- Effectively monitor and manage student data integrity by undertaking quality checks, and identifying any relevant concerns, proposing workable and timely solutions to deliver a high level of efficiency in Region educational delivery support services.
- Maintain a thorough working knowledge and understanding of the Region’s room booking system, including the interface with other relevant systems (e.g. student management system (SMS)), and manage and maintain room booking requirements through the approved system, ensuring alignment with delivery team timetables.
- Liaise proactively with internal and external stakeholders to provide accurate and timely advice with regard to educational delivery support services and TAFE Queensland programs and services.
- Utilise a range of software applications and student management systems (SMS and Celcat) to perform the administrative functions throughout the student training lifecycle, ensuring accuracy of student records, participation records (eRoll and hardcopy), grade entering/conversion, timetabling and archiving.
- Maintain currency of skills and knowledge relevant to delivery training, including:
- Assist with the development and preparation of reports and correspondence relevant to the business operations of the EDS team.
- Contribute to the efficient day to day operations of the relevant administration business unit, including the use of associated office equipment, maintenance of team email inboxes, and front counter and telephone management.
- Proactively participate in local Performance Planning and Development (PPD) processes, seeking opportunities for self-development and contributing to the development of the team through knowledge sharing and the provision of support, guidance and collaboration.
How you will be assessed
The ideal applicant will be someone who has the following key capabilities:
- Proven ability to effectively lead and supervise the day to day activities and performance of employees, contribute to a high performing team and proactively seek and facilitate opportunities for self-development and team development.
- Sound knowledge, or the ability to acquire knowledge, of legislation, policy and procedures relevant to vocational education and training (VET), including compliance with PQS, AVETMISS and ASQA requirements.
- Ability to communicate effectively, including developing rapport and maintaining positive and collaborative working partnerships with a range of internal and external stakeholders.
- Proficiency in the use of a range of computerised systems and applications relevant to the activities of the Educational Delivery Support team, including the ability to generate reports and correspondence and extract and compile accurate and meaningful data to provide advice to stakeholders.
- Demonstrated organisational and problem solving skills, including the ability to prioritise work and respond to changing circumstances with a focus on achieving positive outcomes.
