THE OPPORTUNITY
Due to increasing demand we are looking for a new team member to assist our Office Manager in the provision of notary and general admin services. This important new role will see you undertake a wide variety of tasks from reception, filing and basic admin to the critical, time-sensitive processes around preparing, cross-checking and lodging documents with DFAT and relevant Embassies.
A typical day can include:-
Coordinating and managing correspondence with international corporate clients and general enquiries
Quality assurance of documents before lodgement with the Department of Foreign Affairs and Trade and Embassies
Real time document management
Obtaining foreign currency
Contacting third parties to verify documents
Liaising with staff at various Embassies
Reception and office assistance (answering phone, greeting clients, scanning documents, preparing boardroom for meetings, collecting/logging mail, managing senior staff appointments, managing stationery and office supplies)
This role is permanent part time from 0930-1430 Monday to Friday.
WHO ARE YOU
While there is no specific industry experience expected, we are looking for someone who has good general experience including:-
Strong attention to detail – you cross the T’s and dot the I’s
Strong office skills eg MS Office and general computer skills
Ability to adapt to new industry specific software if required
Confident and engaging telephone manner
Excellent written and spoken English
Ability to look for and identify efficiencies
Just as important as these practical skills are the personal characteristics that will help you to fit in seamlessly with the existing team. Our ideal person has:-
