We are seeking a professional, organised and reliable Office Administrator / Accounts Assistant to provide comprehensive administrative, reception, and accounts support to our busy legal practice.
PRIMARY RESPONSIBILITIES
Reception and Office Administration
Answer and direct telephone calls; take accurate messages and relay as required
Greet and attend to clients and visitors in a courteous and professional manner
Monitor and manage the firm’s general inbox and distribute emails appropriately
Collect, sort, and distribute incoming and outgoing mail; maintain internal mail register
Maintain general presentation of reception, kitchen, meeting rooms and plant care
Order and manage office, kitchen, and stationery supplies
Maintain office equipment and arrange servicing/replacement as needed
Coordinate with building manager, cleaner and service providers to ensure smooth office operations
Organise and coordinate staff events including birthdays, staff dinners and the annual Christmas Party
Act as Office Fire Warden and uphold compliance with safety and emergency procedures
Administrative Support
Perform general administrative duties including typing, filing, copying, scanning, printing, and binding
Assist with matter opening and file maintenance in accordance with firm protocols
Maintain registers including Office of State Revenue, Titles Office eLodgements and Safe Custody:
Perform court filing and document lodgement as required
Provide assistance to Paralegal and Solicitors as needed
Undertake personal tasks for the Principal, as reasonably required
Any other miscellaneous tasks as required.
Accounts and Trust Administration
Process trust account and debtor receipts in accordance with compliance requirements
Prepare and process trust payments, including trust transfers and trust-to-office transfers
Load and schedule payments through firm banking platform
Complete final PEXA accounting tasks following settlements
CORE COMPETENCIES
A willingness to learn and apply knowledge
Prior experience in a legal administrative or office support role (preferred)
Familiarity with trust accounting and legal compliance registers (advantageous)
Knowledge of office management systems and procedures
Excellent time management skills and ability to multi-task and prioritise work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organisational and planning skills
Proficient in MS Office
Experience with client management software, LEAP desirable but not essential
Current Qld Driver’s Licence
