The Role
The administrative team undertakes a wide range of duties including, but not limited to:
ASD4:
- Coordinate with candidates and psychologists to schedule bookings including the use of an automated booking system
- Facilitate psychological testing sessions (training provided)
- Liaise with partner agencies and respond to information requests
- Demonstrated ability to proactively and consistently meet deadlines and ensure delivery against objectives.
- The ability to achieve results within a team-based environment.
- Accurately manage both physical and electronic records
- Perform data entry using Microsoft applications and in-house systems
- Demonstrate Strategic thinking and problem solving skills.
- Supporting internal budget preparation and financial performance reporting.
- Supporting external budget preparation and reporting process.
In addition to the responsibilities above, ASD 5 roles will include:
- Building and maintaining strong relationships with stakeholders
- Proactively resolving issues and consolidating/analysing information and data
- Identify and contribute to business process improvement activities
- Responding to internal and external stakeholder enquiries
- Developing and producing communications and reporting products, including metrics
- Accounts payable and associated reporting
- Proactively manage your workload with minimal direction, seeking guidance as needed
- Understanding the financial statement process, preparing monthly financial accounting reporting (including month-end journals and reconciliations) and contributing to preparation of financial statements.
- Supporting internal budget preparation and financial performance reporting.
- Supporting external budget preparation and reporting process.
- Ensuring financial governance and compliance requirements are met.
- Statement analysis and compliance with relevant accounting standards.
In addition to the responsibilities above, ASD 6 roles will include:
- Positively manage and influence a team of staff
- Effective workload management to ensure outcomes are delivered in a timely manner
- Development of communications and reporting products, including metrics
- Drafting of internal policy and guidance documentation and mentoring of junior staff
- Develop and foster positive relationships with partners, stakeholders and line areas
- Provide tailored advice to line areas in response to queries from vendors, line areas and candidates
- Managing financial duties including accounts payable and budget coordination (specific to designated finance role)
- Lead support and assist with internal budget preparation and financial performance reporting.
- Lead support in the preparation of monthly financial management reports.

The ASD Psychology Services section comprises a team of psychologists and a team of administrative staff. Our primary purpose is to administer psychological assessments (PAs) for all current and prospective ASD employees, and provide support for the ASD workforce.
The psychological services administration team manages the process for candidates undergoing the PA process which encompasses responsibility for a variety of administrative functions including data entry and maintenance, records management, finance and procurement, adherence with policy and legislation, liaising with candidates, contractor psychologists and partner agencies.
We also provide advice to business units and liaise closely with the Australian Government Security Vetting Agency (AGSVA).
