We are seeking a highly organised and strategic Agency Manager to work directly with the Founder & CEO, ensuring the smooth operation of the agency while supporting business growth and operational efficiency.

You’ll champion our systems, support client engagement, and be at the forefront of testing and integrating emerging tools, particularly AI-driven solutions

This role blends agency management, executive support, and client relationship coordination, making it ideal for someone who is dynamic with a curiosity for business operations, process improvement, and high-level administration.

Key Responsibilities

1. Agency Administration

Be the in-house expert across platforms including SharePoint, Monday.com, Keap, Timecamp, Xero and Slack, and lead adoption across the team

Oversee agency administration and business operations, ensuring efficiency across document management, internal processes, and workflow systems.

Prepare high-quality reports, presentations, and strategic meeting materials as required.

Direct the planning, execution, and post-event analysis of agency-led workshops and events.

Stay ahead of trends in AI tools and platforms – we want someone who’s excited to test and roll out AI-supported processes

Manage podcast-related administration, including scheduling, content development, and production coordination.

Establish and refine Standard Operating Procedures (SOPs) to drive efficiency and scalability.

Complete and maintain certifications with platforms such as Monday.com, and Keap.

Ensure a high-functioning, well-equipped workspace, including facilities management and culture-building initiatives.

2. Client Coordination & CRM Management

Serve as the primary contact for inbound client inquiries, ensuring a seamless and professional first interaction.

Ensure accurate and up-to-date CRM data, tracking client interactions, sales pipelines, and business opportunities.

Manage client nurture workflows and CRM automations, optimising engagement and retention strategies.

Proactively monitor client satisfaction, conducting regular check-ins and escalating concerns where necessary.

3. Executive & Director Support

Proactively manage the Founder’s calendar, ensuring seamless coordination of priorities.

Act as the gatekeeper for communications, calls, and messages, delegating and responding where appropriate.

Strengthen client and referral relationships by ensuring regular engagement and proactive follow-ups.

Identify and secure visibility opportunities (speaking engagements, corporate training, podcast features).

Provide admin support, optimising the Founder’s time for strategic priorities.

What We’re Looking For

Proven experience (5+ years) in a Administration, Operations or Agency role.

Strong proficiency in exploring new systems as well as existing skills in Sharepoint (Microsoft Systems), CRM software, automation software and project management tools (Monday.com experience would be highly regarded).

Is curious about AI and eager to explore how automation and innovation can lift efficiency

Has ideally worked in or alongside a creative or digital agency

Exceptional written and verbal communication skills, with a high level of professionalism.

Ability to anticipate needs, organise tasks and work proactively to ensure everything runs smoothly

Experience in business operations, workflow optimisation, and executive support.

Strong problem-solving skills, with the ability to prioritise competing demands in a fast-moving environment.

A strategic thinker who thrives on improving efficiency, managing key relationships, and driving business success.

A team player who builds and rapport with others and can positively impact culture.
