About the role
We’re looking for a proactive and organised Theatre Bookings Officer to join our collaborative team at the Royal Dental Hospital of Melbourne. In this role, you’ll be at the heart of theatre coordination — ensuring smooth scheduling, efficient patient flow, and a seamless experience for patients and staff alike.
Reporting directly to the Patient Access Team Leader – Surgery and Oral Medicine, you'll work closely with the Perioperative Coordinator, Nurse Unit Manager, and Surgery Leadership Team to manage complex scheduling and prioritisation to ensure smooth patient flow, optimal theatre utilisation, and a streamlined surgical experience for all.
This is a fast-paced and rewarding role where your attention to detail and ability to problem-solve on the go will directly impact the delivery of timely, high-quality care.
What you’ll be doing
- Keep things moving: Coordinate theatre and anaesthetic bookings to maximise theatre utilisation and reduce wait times.
- Be the go-to: Liaise across multiple departments to align surgical needs with clinician availability.
- Problem-solve on the fly: Manage last-minute changes, cancellations or urgent cases with confidence and care.
- Support patient journeys: Ensure patient records are up to date and they’re scheduled efficiently and appropriately.
- Think ahead: Contribute to future planning, forecasts and resource management for continuous improvement.

What you’ll bring
- Experience in theatre or health care administration and/or scheduling
- A natural collaborator who can juggle competing priorities with calm and confidence
- Excellent communication and stakeholder engagement skills — with patients and professionals alike
- Proficiency in MS Office and patient management systems
