KLN Project Logistics is part of the global KLN group and specialises in freight forwarding for large scale and complex projects and re-supply logistics for specific industries such as oil & gas, renewables and power, chemicals & petrochemicals, mining, construction and infrastructure.

We operate in 45 countries and have recently opened an office in Perth.

The Project Logistics/Heavy Lift Supervisor plays a critical role in the successful execution of international and domestic logistics for project-based operations. This position is responsible for managing end-to-end shipment coordination, ensuring timely delivery, regulatory compliance, and maintaining strong vendor and customer relationships. The role demands a proactive, detail-oriented individual capable of handling high-pressure project timelines.

Key Responsibilities:

1. Shipment Coordination

Arrange and coordinate international and domestic freight transportation via air, ocean, and land.

Schedule and manage pick-up and delivery with carriers, freight forwarders, and vendors.

Track and monitor shipments from origin to final destination, ensuring on-time performance.

Provide timely and transparent communication to clients regarding shipment status and updates.

2. Documentation & Compliance

Prepare and review essential shipping documentation, including:

Commercial invoices

Packing lists

Bills of lading (B/L)

Certificates of origin

Shipper’s Letter of Instruction (SLI)

Transport drawings – calculate and confirm actual lifting loads against design loads and review methods.

Ensure strict adherence to international trade regulations and standards (e.g., Incoterms, export/import laws of various countries especially India) to support vessel loadouts

Collaborate with customs brokers and relevant government authorities to manage customs clearance.

3. Carrier & Vendor Management

Interface with transportation providers, including ocean carriers, airlines, trucking companies, and consolidators.

Negotiate freight rates and service agreements to achieve cost savings.

Evaluate carrier performance, delivery reliability, and service quality on an ongoing basis.

4. Customer Service & Relationship Management

Act as the main point of contact for clients regarding shipment inquiries and logistics planning.

Resolve logistical issues such as shipment delays, damages, or misrouted cargo.

Advise customers on optimal transportation solutions, lead times, and cost-effective alternatives.

5. Data Entry & System Management

Utilise logistics and ERP systems (e.g., Cargo Wise, SAP, Oracle) to manage shipment data and processes.

Ensure accurate and timely entry of shipping information and maintain complete documentation records.

File and store logistics documents in compliance with internal procedures and legal standards.

6. Problem Solving & Risk Mitigation

Identify potential risks including delays, compliance issues, and weather-related disruptions.

Develop contingency plans to minimise impact on project timelines and budget.

Handle exceptions such as demurrage, detention, and non-conforming cargo, ensuring proper resolution.

Qualifications & Skills:

Minimum 7+ years of experience in logistics, supply chain, or freight forwarding, preferably in a project-based environment.

Solid understanding of international trade regulations, customs procedures, and Incoterms to support vessel loadouts

Strong negotiation and communication skills, with experience managing external vendors and clients.

Proficiency in logistics software and ERP systems (e.g., Cargo Wise, SAP, Oracle).

Detail-oriented with excellent organisational and time-management abilities.

Ability to work under pressure and adapt to shifting priorities.

Ability to travel to remote ports, for example, Dampier, WA
