Willoughby City Council is seeking a detail-oriented Governance Administration Officer to provide vital secretarial and administrative support across Council and its Advisory Committees. This role plays a key part in promoting good governance, ensuring transparency and accountability, and fostering community trust. About the Role

This role is 21 hours per week until September 2028, with occasional out-of-hours work required.

As a Governance Administration Officer, you will:

Provide secretariat support to Council Advisory Committees, including meeting setup, member liaison, agendas, minutes, and report coordination with Subject Matter Experts

Serve as the primary contact for Advisory Committees, ensuring timely communication

Ensure committee operations align with Council’s governance frameworks, policies, and procedures.

Maintain accurate and current public information on Council’s website as required

Manage competing priorities and deadlines effectively

Identify and contribute to improvements in committee processes and governance activities to enhance transparency and accountability

What You’ll Bring

Proven administrative and secretariat experience, including records and corporate systems use

Qualifications and/or extensive experience in Microsoft Office (Word, Excel, Outlook), Windows-based systems and electronic document management systems like ECM

Experience with minute-taking software (e.g., Resolve) and fast, accurate keyboarding skills

Excellent communication, problem-solving, time management, and attention to detail

Ability to work cooperatively in a team, and independently when required

Sound judgment and discretion in confidential and politically sensitive environments.

Commitment to customer service and meeting client needs

Desirable

Local government or related experience, with knowledge of processes, meetings, and legislation
