Overview
We are seeking a capable and detail-oriented Commercial Property Manager to oversee a portfolio of office, retail, or mixed-use commercial assets. This role involves the full scope of property management, from financial oversight and lease compliance to contractor coordination, tenant relations, and managing tenancy works including fit-outs and make-good obligations. Proficiency in property management software is essential.
Key Responsibilities
Leadership
Ensure a consistent approach to property management across all assigned assets, implementing Memocorp policies, procedures, and templates.
Collaborate with the Senior Property Manager and Operations Team to develop strategic asset plans focusing on asset positioning, leasing, capital works, and marketing strategies.
Assist in building and delivering capex budgets and plans considering building quality, presentation, operational performance, and leasing challenges.
Attend and actively participate in all relevant meetings including asset management, property and asset management teams, facilities management contracts, and other forums.
Contribute to the development of policies, procedures, and templates for the Office Property Management team.
Support Facilities Management activities, including resource allocation, contractor liaison, and KPI assessments.
Participate in national projects and initiatives for the benefit of the wider property and asset management teams.
Build and maintain a professional reputation as a market leader, promoting Memocorp’s brand as a high knowledge, high-performance organisation.
Customer Engagement
Implement Memocorp’s customer engagement guidelines for assets under your management.
Develop and deliver Asset Tenant Engagement Plans to foster strong tenant relationships and enhance tenant satisfaction.
Undertake regular asset inspections, liaising with tenants to maintain high standards and a positive tenant experience.
Coordinate tenancy fit-outs and make-good obligations in line with lease requirements.
Utilize Memocorp’s CRM system to manage tenant engagement and maintain high levels of tenant satisfaction.
Financial & General Property Management
Provide comprehensive property management functions for assigned assets including:
Ownership of asset budgets, ensuring revenue, expenses, and capital expenditure forecasts meet targets.
Work collaboratively with Project, Operations, and Facilities Teams to control risks relating to public liability, fire safety, essential services, visitors, and contractors.
Administer leases accurately, ensuring timely processing of charges and receipts.
Proactively manage rent collection and minimise arrears through effective follow-up procedures.
Manage a diverse suite of consultants and contractors in line with group protocols.
Assist in lease negotiations and renewals, coordinating preparation and execution of lease documents.
Deliver timely, accurate reports for senior management including strategic asset plans, valuations, business plans, and owner reports.
Facilitate implementation of Strategic Asset Plan initiatives including capital works and leasing outcomes.
Oversee sustainability projects, ensuring data collection and reporting meet agreed timeframes.
Reporting & Systems
Use platforms such as Yardi for reporting, program tracking, and document control.
Working closely with Internal teams: Operations & Facilities Teams, Project Team, Accounts Department, Marketing Team, Client Relations Team
External teams: Tenants, Customers, Contractors, Agents, Valuers
Key Requirements & Qualifications
Recognised qualification in Property Management or related field preferred.
Minimum 5 years’ experience in commercial property management.
Strong financial management and reporting skills.
Excellent customer management focus.
Sound knowledge of safety, health, and environmental management practices.
Computer literate, proficient with Microsoft Office and property management software.
Manage a range of diverse property management tasks, including acquisitions, disposals, and valuations.
Work under tight deadlines in a fast-paced, evolving environment.
Balance multiple asset portfolios while ensuring operational efficiency and tenant satisfaction.
