What you'll do:

In this role, you will be instrumental in supporting the seamless operation of Executive functions across the organisation. Your daily responsibilities will include managing dynamic calendars, preparing professional documents for senior meetings, and serving as a reliable liaison between executives and key stakeholders. You will also take the lead in planning and executing events and meetings, all while maintaining the highest standards of confidentiality. Excelling in this role means anticipating needs, communicating clearly, staying composed under pressure, and expertly balancing multiple priorities without sacrificing attention to detail-qualities that will make you a vital part of the team.

  • Deliver proactive administrative support to senior executives, managing schedules and correspondence with precision and timeliness.
  • Oversee intricate travel planning, including booking flights, accommodations, creating itineraries, and reconciling expenses to ensure smooth trips.
  • Draft and format documents, reports, presentations, and meeting materials with a strong focus on clarity and accuracy.
  • Coordinate meetings and events end-to-end-from scheduling and agendas to catering, minutes, and follow-ups.
  • Serve as the primary contact for internal and external stakeholders, offering exceptional service while protecting sensitive information.
  • Handle communications such as emails and calls with professionalism, triaging and escalating issues as needed.
  • Provide project support by tracking timelines, managing documentation, and helping monitor deliverables.
  • Support new employee onboarding by facilitating inductions and ensuring all necessary tools and resources are provided.

  • Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook) and a keen eye for professional document formatting.
  • Trusted to handle sensitive information discreetly and manage confidential matters with integrity.
  • Self-motivated and proactive, with the foresight to identify and address needs before they arise.
