About the Role
The Nursing Workforce Bookings Consultant plays a critical role in ensuring the delivery of safe, high-quality patient care by managing the effective deployment of nursing staff. This role involves planning, developing, and maintaining accurate and equitable staff rosters to meet the clinical and operational needs of the health service. The coordinator must balance workforce availability with budgetary constraints, staffing policies, compliance obligations, and individual staff preferences to create efficient and fair scheduling outcomes.

Responsibilities of the Bookings Consultant
Prepare, publish, and manage rosters for nursing and support staff in accordance with patient care needs and staffing ratios.
Coordinate daily shift allocations and real-time adjustments in response to unexpected staff absences or surges in patient activity.
Track and maintain records of annual leave, sick leave, and other forms of leave, ensuring proper planning to minimise service disruption.
Maintain a pool of casual and agency staff, facilitating timely bookings when shortfalls occur.
Use and maintain workforce management software for scheduling, reporting, and optimisation.
Ensure the accuracy of timekeeping and shift records for payroll processing.
Generate reports and analytics on staffing trends, shift fill rates, overtime usage, and workforce utilisation.
Ensure rosters comply with workplace awards, enterprise agreements, and legislative requirements (e.g., maximum hours, rest breaks, fair work standards).
Work closely with HR and Payroll to resolve discrepancies or non-compliance issues.
Keep up to date with relevant policy changes and workforce management guidelines.
Act as a key point of contact between clinical departments, nursing staff, HR, and external staffing agencies.
Communicate roster changes in a timely and transparent manner to all stakeholders.
Assist with onboarding of new staff by coordinating orientation and shadow shifts.
Essential Criteria
Preferred high-level proficiency in rostering and scheduling software
In-depth knowledge of healthcare workforce structures and clinical staffing needs.
Excellent time management, organisational, and prioritisation skills.
Strong interpersonal skills with the ability to manage conflict, negotiate solutions, and build professional relationships.
Analytical thinking and problem-solving ability, especially under pressure.
Understanding of workplace health and safety and the impact of fatigue on workforce health.
