JOB PURPOSE AND SCOPE
Working within Kanji IT Division as part of the Service Delivery function, the Administration Officer plays a vital role in supporting the operational efficiency of the IT purchasing and procurement function.
This Three Month Contract position is responsible for managing day-to-day time-critical administrative tasks related to IT purchasing, including processing orders, tracking approvals and deliveries, and ensuring accurate data entry into relevant systems. The role also involves invoice and purchase order administration, as well as other general administrative tasks.
The successful candidate will be a quick learner with strong attention to detail and the ability to manage multiple tasks in a fast-paced environment.
JOB RESPONSIBILITIES
Administer daily IT purchasing activities, including:
Verifying order details and specifications
Entering purchase information into supplier, procurement and finance systems
Coordinating and seeking necessary approvals
Monitoring order status and tracking deliveries
Communicating with internal stakeholders to manage expectations
Picking, packing and arranging for courier transport
Manage mobile phone procurement and distribution:
Coordinate handset and SIM card orders
Activate SIM cards and ensure accurate record-keeping
Distribute devices to end users
Assist with carrier service billing enquiries
Process and maintain records of invoices and purchase orders:
Match invoices with purchase orders and delivery confirmations
Liaise with finance and vendors to resolve discrepancies
Ensure timely submission and filing of documentation
Review, Revise and Create Documentation to ensure that related Process and Procedure is clear
Provide general administrative support to the IT teams as required
SKILLS/EXPERIENCE AND QUALIFICATIONS
Essential:
Proven experience in an administrative or procurement support role
Strong data entry and record-keeping skills with high attention to detail
Ability to learn new systems and processes quickly
Excellent communication and interpersonal skills
Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Ability to manage multiple tasks and meet deadlines
Desirable:
Experience with IT procurement or mobile device management
Familiarity with Pronto Xi Enterprise Resource Management (ERP) software
Understanding of basic IT equipment and terminology
The Successful candidate must complete a National Police Check, a Pre-Employment medical and will be required to provide proof of right to work in Australia.
