Your Impact:
As a Part Time Quality System and Compliance Officer, you will play a key role in maintaining:
Responsibility to ensure that all controlled documents are accurate, up to date, accessible, and compliant with organisational and regulatory standards.
- The Organisation’s controlled documents and quality management systems, ensuring alignment with regulatory, legislative, and safeguarding requirements.
- The system compliance, driving continuous improvement, and supporting effective service delivery.
What you'll do:
- Oversee and maintain the Document Management System (DMS) in SharePoint, ensuring robust version control, appropriate approvals, and timely distribution.
- Ensure all controlled documents including policies, procedures, and forms are current, consistently formatted, reviewed regularly, and archived appropriately.
- Coordinate and communicate document updates across the organisation, ensuring staff are informed of changes and access the correct versions.
- Support the development of accessible or easy-read versions of documents, where appropriate, to ensure inclusivity and accessibility.
- Support and assist in the review, development, and maintenance of controlled documents (including policies, procedures, and forms) to ensure they are current, compliant with relevant standards and legislation, and aligned with organisational practices.
- Provide guidance and support to staff in the use of document management systems and compliance processes.
- Support preparation and participation in internal and external audits, including the provision of up-to-date controlled documents and compliance evidence.
- Monitor and maintain systems to ensure alignment with safeguarding and compliance obligations, including those outlined under the NDIS Practice Standards.
- Identify gaps in document control or compliance processes and escalate issues as required to relevant managers or advisors.
- Collaborate with stakeholders to enhance quality systems and document control processes in line with business needs and regulatory requirements.
- Assist with tracking and reporting on quality and safety metrics to inform improvement activities.
- Actively participate in identifying and implementing process improvements to increase efficiency and reduce compliance risks.
What you'll bring:
- Demonstrated experience in document control, quality assurance, compliance, or governance roles.
- Strong understanding of document management principles, including version control and approval workflows.
- Experience with SharePoint or equivalent document management platforms.
- Excellent attention to detail and organisational skills.
- Strong communication and engagement skills.
- Good time management, with confidence to prioritise competing requests.
- Experience supporting audits or quality reviews in a regulated environment (e.g., NDIS, ISO, Aged Care).
- Experience developing or editing organisational policies, procedures, and controlled forms.
