We are currently seeking a proactive and detail-oriented Fleet Administrator to join our team in Scoresby, Victoria. This permanent, full-time role plays a vital part in supporting both our fleet operations and broader business functions.
In this role, you will:
Fleet Management (Approx. 3 days/week):
Manage the company’s vehicle and trailer fleet, including scheduling maintenance, tracking compliance, and resolving operational issues.
Maintain accurate records of fleet assets, driver documentation, and related data in the asset management system.
Use GPS and telematics systems to monitor vehicle use and performance, identifying areas for improvement.
Process fleet-related invoices, insurance claims, and driver licensing, ensuring timely and accurate administration.
Respond to fleet-related queries via the dedicated inbox and generate performance reports to support business decisions.
Shared Services Administration (Approx. 2 days/week):
Raise and receipt purchase orders, match and process invoices, and track them through to approval and payment.
Ensure supplier invoices are compliant, reconciled, and disputes handled in a timely, professional manner.
Support administrative tasks such as preparing reports, maintaining records, updating databases, and assisting other departments as needed.
Provide reception desk coverage and maintain clear, professional communication with stakeholders via phone, email, and mail.
To be successful, you will have:
Minimum 3 years of experience in an administrative role.
Proven experience in managing company fleet operations.
Strong computer skills, including Microsoft Word, Excel, Outlook, and PowerPoint.
High attention to detail, with excellent time management and organisational skills.
Strong written and verbal communication, and the ability to work independently and collaboratively.
Preferred Qualifications:
Familiarity with systems such as Fleetcard, eTag, and Inseego.
Experience with invoice processing and supplier management.
