About the Role
We're looking for a dynamic and highly organised Programs Coordinator to help deliver our life-changing swim and run training programs. Reporting to the Head of Operations and working closely with the Associate Programs Manager, you'll play a central role in the behind-the-scenes magic — ensuring our programs are planned, communicated, and executed seamlessly.
This is a varied and rewarding role suited to someone who thrives on structure, loves working with people, and takes pride in delivering outstanding participant experiences.
Key Responsibilities
Provide day-to-day operational support to ensure smooth delivery of CanToo’s run and swim programs
Assist with program planning — scheduling sessions, booking venues, and tracking timelines
Coordinate participant onboarding, including registration tracking and health questionnaires
Collaborate with Marketing & Communications to shape participant email content and ensure timely updates
Maintain accurate participant data and support reporting requirements
Manage apparel stocktake and distribution of shirts, caps, and gear prior to program commencement
Support the shared inbox by responding to program-related queries and escalating as needed
Attend select goal events to support program delivery and foster community spirit
Contribute ideas to continuously improve the participant experience
What You’ll Bring
Strong organisational skills and the ability to juggle multiple priorities
Excellent written and verbal communication
Previous experience in program coordination, customer service, or event support
Digital proficiency with CRMs, email platforms and spreadsheets
Detail-oriented with a proactive approach to problem-solving
Warm, approachable, and committed to supporting others on their fitness and fundraising journey
Bonus Points For
Knowledge of the not-for-profit or health/fitness/event sector
Experience with fundraising or participant engagement
Familiarity with CanToo’s mission and values
