GM Technology & Major Cap Group | Major Capability | Sourcing & Vendor Management | Vendor Contracts & Project Engagement Section

The Sourcing & Vendor Management Branch (SVMB) provides expertise to ICT and non-ICT capability areas concerning the ongoing identification and management of key relationships with vendors, delivery partners, service providers and partner agencies.

The SVMB provides specific expertise in undertaking sourcing and procurement activities and managing subsequent contracts, panels of providers and strategic partnerships.

The Section also manages the Project Coordination Unit (PCU) front door. This unit is responsible for the management and administration of the Vendor Project Engagement Model (VPEM), which describes the engagement responsibilities between the department and the Vendors for the delivery of ICT infrastructure projects. The PCU is the first point of contact and is the conduit between the department and our Strategic Vendors for the delivery of IT Infrastructure projects. The PCU also administers all Vendor general service and quote requests for the department via the Connected Services portal together with the validation of invoicing.

Duties and responsibilities

The Project and Service Request Administrator will be able to provide contractual and financial administration support to the Project Coordination Unit Subject Matter Expert including:

  • Weekly Meetings with Strategic Vendors and Stakeholders for Project review with all vendors and monthly Financial and Contractual meetings for all Vendors and internal Contract Managers
  • Review of all project documentation together with verification in line with department's IT Contracts for each Vendor - contracted rates and financial verification, Business as Usual (BAU) service delivery vs project and administering of all vendor projects' Monthly pricing Explanation charges together with financial expenditure management
  • Verification, review and approval of all strategic Vendor Quote and Service Requests
  • Monthly Vendor contractual Service Level Agreement (SLAs) verification
  • Provide quality information and services to Stakeholders and/or their representatives, with an emphasis on an ability to communicate effectively and under general direction, coordinate correspondence, corporate documentation, submissions and other communication

Additional information

  • Certificate IV in Government (Procurement and Contracting) and previous experience in Contract Management is not essential but highly desirable
  • Preferred knowledge of connected services tool and the Vendor Project Engagement Model (VPEM)

Eligibility

To be eligible for the position you must be an Australian Citizen.

The successful candidate will be required to obtain and maintain a Baseline Vetting (AGSVA) security clearance, and:

  • ABF Workers will also be required to obtain and maintain an Employment Suitability Clearance (ESC).
  • Home Affairs Workers will also be required to obtain and maintain an Onboarding Check.

In certain circumstances, an Employment Suitability Clearance (ESC) may be required in addition to, or in lieu of, an Onboarding Check, which will be determined by the delegate as necessary.
